Reasearch Loopnet Crexi to find potential properties to ---------- mercial Real Estate with an Apartment and Hotel focused Investment firm is seeking an experienced, reliable and task-oriented Executive Assistant who will provide quality administrative support to the Managing Partner of a apartment/hotel acquisition, development and asset management firm. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced environment. Duties and Responsibilities for the Executive Assistant:
• Assist with a wide range of administrative and executive responsibilities such as managing the office workflow, drafting correspondence emails, screening calls, and liaising between the Managing Partner and external clients/vendors.
• Coordinate travel arrangements, developing complete and comprehensive itineraries, and arranging meetings and visits.
• Monthly reconciliation of professional expenses.
• Generate and maintain financial reports and updating the bookkeeping software on a weekly and monthly basis.
• Must be able to maintain complete confidentiality regarding details of schedules and all other related information.
• Oversees maintenance of records, files, equipment and supplies for the office.
• Manage special projects assigned by Managing Partner, as well as minimal personal tasks will be required.
Qualifications for the Executive Assistant:
• A minimum of three years’ experience performing high level administrative support for a senior management.
• Bachelor’s degree, or an equivalent combination of experience, knowledge, skills and abilities; Real Estate experience is a plus.
• Excellent organizational and prioritization skills, with the ability to balance multiple issues and projects in a fast-paced environment.
• Attention to detail, proactive, and organized with desire for continuous improvement.
• A friendly and welcoming demeanor.
• A high degree of discretion, judgment, tact and poise; grace under pressure and can-do attitude.
• Highly proficient in spreadsheet, presentation, and mail software such as MS Word, Excel, PowerPoint, and Outlook.
• Must be technologically efficient and savvy.
