Virtual Assistant / Researcher for Small Auto Company in USA

We're a small but growing, family-owned business (11 years) in South Carolina, USA looking for a bright, diligent, and patient virtual assistant / internet researcher to handle day-to-day vehicle research and document tracking activities.

This position has three primary responsibilities:

1. Daily research and entry of individual vehicle values in our local market.
2. Daily tracking / status reports of important physical documentation sent to and from our dealership.
3. Other simple Virtual Assistant requests as they may arise.

Our business and our industry are quickly evolving, and we need someone who is willing to be flexible, learn new processes and softwares when needed, and, from time to time, have minor changes in job responsibilities as the business requires.

After an extended period of growth over the last couple years, we're now focusing on systematizing and adding efficiency to our current operation. This is where a VA comes in. We've identified several extremely important yet time-consuming activities that we've decided to systematize and delegate to a Virtual Assistant. We want this individual to be just as much a part of the team as the rest of us in the office. We'll have regular communication with you as the data and updates you provide will be critical to keep our operation running smoothly.

We believe in providing clear, documented instructions for our employees. As such, we are in the process of documenting exactly what we would like our new Virtual Assistant to do, how we recommend completing the tasks, and the specific outcomes and reports that we would like to see on a regular basis. We communicate with email, phone and Zoom when needed, and we provide documented work instructions via Google Docs and Loom videos.

To go a step deeper regarding job responsibilities, on a daily basis our Virtual Assistant will research and document automobile values for all new listing from the previous day / evening on classified auto listing sites. He or she will use two primary softwares for this task, one for identifying the new vehicles, and another for appraising them. We use this data to approach and make offers to potential vehicle sellers. These activities are the lifeblood of our business. Furthermore, our Virtual Assistant will help us track the status of important documents such as vehicle titles and check payments sent via UPS, and license plates. We will teach you the appropriate timeline, follow up process, and reporting procedure for helping us insure that these important documents get where they need to go without any bottlenecks.

More about Northside Auto - We buy, recondition, sell and offer protection on pre-owned vehicles in our local market. We've come a long way in our 11 years in business, beginning with 1 owner / operator, to 4 full-time employees and 3 part-time employees. We've gone from buying and selling 6 vehicles per month, to buying and selling approximately 25 - 30 vehicles per month. We're very unique in that we buy 100% of our vehicles from private owners. Our owner is the secretary of the Carolina Independent Auto Dealer's Association, and she and her husband (that's me!) are members of a NIADA 20 Group which means we meet face-to-face three times per year with other dealers around the country for deep business reviews and discussions regarding improving our business operations. We're focused and dedicated to running an efficient, profitable and upstanding organization, and we want to have a long-term relationship with a loyal and capable Virtual Assistant to help us achieve that.
