JOB OVERVIEW

The Recording Service is looking for a PART-TIME virtual assistant to join our team with the opportunity to become full-time. TRS is a video production company based out of Atlanta, Georgia, located in the United States. You will be working with a team of videographers, producers, and closely with the CEO.

QUALIFICATIONS

Currently looking the following core skills:
• Strong English communication and writing skills
• Strong administrative and organizational support
• Ability to effectively create and maintain changing work schedules
• Effective and professional verbal and written communication
• Ability to multi-task data entry and analysis
• Minutes and notes taking
• Calendar management and scheduling
• Phone and Skype
• Strong work ethic
• Some knowledge of MS Office: Excel, Word, and Outlook

Preferred qualifications:
• Proofreading
• Online research
• Graphic design (InDesign program)

CORE RESPONSIBILITIES

-Collecting prospective new client contacts
You will be collecting and contacting leads from closely located organizations. These can include schools, government offices, corporations, and non-profit agencies.

-You will be trained on registering The Recording Service into a web-based “supplier portal.” The supplier can post links to their past work and write a description about themselves. You will be responsible for filling out these profiles so our company is listed in the database of potential customers.

-Handle writing and design of documents, using our templates in Adobe InDesign.

-Writing daily schedules for our video crew for days of video shoots
After being trained on how to put together these documents, you will receive an audio or video message. Your job is to neatly write up this information and share with all parties.
PLEASE NOTE: This task needs to be done on short notice sometimes, especially if there are last-minute changes to the schedule.

-Creating Progress Report documents for our clients based on info supplied by manager and tech staff
Here, you will create documents to track progress with clients. These may be presented to clients, or otherwise manage and track The Recording Service’s projects.

-Writing Up After-Job Debriefs
Workers in the US leave an audio message remotely after completing a job/day of work. They report when they arrived at work, when they left, and they walk through their plan for the day, noting where things went well. They will also note difficulties, and any ideas they had for how to improve things if they had to do the same work again. You will process the information from this message into a document or necessary follow-up emails.

-Coordinate work schedule amongst tech staff
Our regular clients need consistent coordination with schedules. This service requires 2 - 3 technicians to be onsite. We have a rotating pool of techs. You would schedule these technicians at least a month in advance. You would also handle any scheduling conflicts the techs have by contacting a different technician to cover the shift.
