ESSENTIAL FUNCTIONS/AREAS OF ACCOUNTABILITY
1. Provides clerical support to agency management and supervisory personnel
2. Delivering exceptional customer service assistance
3. Responding to all customer inquiries in a polite and timely manner
4. Addressing visitor questions and needs, and providing an overall welcoming environment
5. Professionally answer and transfer calls in accordance with office policy
6. Complete new client’/referral intakes by informing the potential clients of services, answer questions, and documenting details on the intake summary form and SwyftOps.
7. Keep detailed and accurate records of caller requests and of calls received
8. Prepares correspondence, reports, documents, and Plans of Care/Aide Care Plans
9. Prepares statistical reports as needed
10. Maintains current admission log
11. Enters all new clients into the computer system
12. Assists with the hiring process for direct care staff
13. Provides initial telephone screening for applicants and sets up interviews, if appropriate
14. Requests Employment Verification(s) on applicants
15. Performs job in compliance with agency policies and procedures as well as community and professional standards
16. Accepts responsibility in accordance with the role of the Receptionist
17. Assures compliance with applicable laws
18. Attends meetings and educational programs as required
19. Participates in the Agency quality improvement activities
20. Maintains confidentiality in all aspects of the job
21. Communicates necessary information to Supervisor and management team to ensure coordination of services and activities
22. Contacts clients, referral sources, families, and other disciplines as directed to assure care coordination
23. Assists with the filing of documentation in the client/caregiver file. Reports missing or incomplete charting
24. Participates and communicates with other departments to assure that tasks are accomplished
25. Performs additional duties and responsibilities as deemed necessary
The primary hours are from 8:00 am to 5 pm, Eastern Standard Time. There are very few calls from 5:00 pm to 8:00 pm there are very few calls. This is a 12-hour shift.
