Our Founder/Director is looking for a highly organised Executive Assistant for a Brisbane Australia based sports centre management business with a strong online retail presence.
ROLE:
- Responsible for providing comprehensive administrative support to the Founder of the business.
RESPONSIBILITIES:
Administration
- Be an important and direct representative of the Founder that assists him with tasks as required in a timely and professional manner.
- Providing administrative assistance, sorting
- Calendar management, organising meetings, monitoring / updating task lists, following-up information and prioritising the most sensitive matters and tasks.
- Maintaining comprehensive and accurate corporate records, documents, and reports on Google Drive.
- Organizing and facilitating meetings; including scheduling, sending reminders, taking dictation, minutes, and follow-up of actionable items.
- Using various software, including word processing, spreadsheets, and presentation software to prepare reports or presentations using G-Suite.
Documentation
- Assist in documenting and creating SOP, work flows, procedures, resources and systems to improve workflow.
- Assisting with basic booking tasks such as reconciliations, tables, gathering KPI data, and other special reporting tasks as required.
- Provide information and resources necessary to assist in making decisions.
- Assisting other staff as required.
E-Commerce
- Assist with improving the online store presentation and information as required (product descriptions, images, SEO, content creation).
- Review and understand metrics associated with Google Adwords and Google Analytics.
- Updating WordPress sites as required.
- An understanding of Google Merchant Centre,

- Allowing our Founder to focus on higher-level responsibilities.
- Serve as a link to the management team.
- Contribute to better organisation and planning.
- Help the management team be more effective in their roles.
- Improving and upgrading the systems and workflow of the organization.
ABOUT YOU:
- At least 4 years Executive Assistant work experience.
- Available full-time during the usual working hours Brisbane time.
- A reliable computer with a reliable internet connection and webcam for meetings.
- Time management and ability to meet deadlines in a fast-paced, quickly changing environment.
- Professional level verbal and written English communications skills.
- A proactive approach to problem-solving with strong decision-making skills.
- Strong organisational skills and ability to multitask.
- Ability to act as gatekeeper and escalate relevant information as needed.
- Ability to work effectively with minimal supervision.
- Ability to treat confidential information with appropriate discretion.
- Exceptional attention to detail.
- In-depth understanding of G Suite, Shopify, Wordpress and task management software.
