JOB OVERVIEW

RESPONSIBILITIES

Work directly with the Operations Manager on a wide range of projects involving streamlining operations
Convey work processes into meaningful, intuitive, and engaging documentation
Assist in reviewing and audit of existing processes. Ensuring they are always relevant, transparent, and clear.
Enforcing lean process throughout the whole organisation.
Support in creation and maintenance of process documentation in a single platform
Provide leadership in teams working on creating, testing, and documenting new processes
Delegate necessary operational management work to established company team members
Assist in introducing and enforce change within teams or larger company divisions
A champion of culture, especially in how Jacob & Co's values are represented in its processes
Helping handle projects as a planner and coordinator
Proactive presence in any project to make sure all moving parts (people and tasks) are going along as scheduled
Holding people accountable of project tasks
Support in solving a variety of operational management issues
Report to company executives and team members
A wide array of research tasks, where needed
Coaching and mentoring


JOB REQUIREMENTS

Able to work from home with a reliable internet speed, good computer, and a quiet home office
Able to work at least 40 hours a week, any time between 9am to 9pm EST
Flexible work shifts can be negotiated based on circumstances
Immaculate spoken and written English.
Very particular with grammar.
Able to get along with a team and work with diverse groups
Active and clear communicator to make sure project stakeholders are always in the loop
Effective communicator to make sure people know what you mean and avoid loss of time through miscommunications
Proven ability to meet project outcomes and deadlines
Established team leadership to ensure all members work towards the same goal
Experienced task tracker and team leader
Proven capacity for resilience and resourcefulness
Tested ability as a researcher

QUALIFICATIONS

At least 2 years experience in any operational or support (e.g. executive assistant) role
Work experience in operational management support is preferred
Experience creating and enforcing new processes is preferred
Project coordination experience is a huge bonus and will be prioritized
Highly experienced with Google Suite or Microsoft Office tools
A proven ability to organize chaos into business value
