Job Description
The VARA3D project coordinator/administrative assistant will create and manage project schedules and assist with client relations. The position will require a range of scheduling and organizational skills, office support, and administrative skills with the opportunity to learn estimating and assist with proposal writing and business development. The project coordinator/administrative assistant will be expected to be a contributing team member, as many of the VARA3D projects require multiple phases and workers to complete. This position will conduct our daily morning team meetings (1 hour on Mondays or Fridays and 15 minutes other days). This position is part-time and would be not less than 30 hours per week and will work into full-time salaried work as the candidate learns the position and assumes more responsibilities.
The chosen candidate must have a computer, phone, and reliable internet for business calls.
Hourly rate is negotiable as well as a phone allowance
Preferred knowledge of scheduling software such as Assana (we will train on Assana if need)
Quick Learner. (Especially with regards to software programs)
Great working knowledge of Microsoft Excel and Word
Outstanding verbal communication & Written English Skills
Solid understanding and ability to work with File Explorer and Dropbox
Work well and coordinate with Bookkeeping, Client and Operations to assure good project workflow.
Excellent organizational skills, extremely efficient and precise detail oriented
Demonstration of a positive and professional demeanor
Excellent attendance and punctuality required.
Ability to conduct staff meetings at 8:00 am mst (US)
Ability to build client relationship while promoting prompt and timely payment of invoices.
Problem Solver - Resourceful, including the ability to use the internet to research solutions.
Ability to adapt and change at a moment’s notice.
Ability to interact with tact, discretion, and diplomacy across all levels internal and external to the company.
Helpful if:
Very Good understanding of Job Costing Principles
Can assist in creating project quotes under the direction of the president/owner.
Bachelor’s or Associate degree and 2 years’ experience in Project or Business Management
Key Responsibilities and Required Skills.
Maintain project schedules & assure clients & company teammates are informed of schedule & project progress
Manage and update team schedule/calendar. Coordinate project specifics and project schedule with clients.
Support operations team on projects. Scheduling team with specific task Coordinating tools and Equipment
Work with accounting to ensure all work is promptly invoiced.
Prepare Subconsultant Purchase Orders and provide to accounting.
Help submit surveys on-line to government agencies.
Create project quotes under the direction of the owner.
Obtain and file project critical documents.
Obtain Title reports/utility as built.
Conduct the daily morning meeting.
Maintain confidentiality and discretion.
Coordinate Dropbox, Gmail, share files accounts etc.
Benefits:
Pay: Hourly pay for 1st 90 days. After 90 day trial or less - can convert to salary depending on skills. 1-week paid vacation.
