Hello! We are a creative agency in the Midwest, and we are looking for an experienced Finance & Operations Manager. This person will be responsible for the company's standard operating procedure/SOP implementation, revenue management, and bookkeeping.
We need someone who can work well alongside our CEO, Account Managers, internal team members, and our clients.
The Finance & Operations Manager should have great English and communication skills and be able to handle diverse projects. Our CEO is a female entrepreneur who believes in building up everyone that she works with, so she can give direct feedback to help mentor you as well!
We are looking for someone who can work 30-40 hours a month, central time, with the opportunity to go full time after 2 weeks.
Responsibilities:
- Understands how to do basic bookkeeping
- Onboard clients in our project management suite Basecamp seamlessly
- Coordinate with our team to get new project quotes and adjust quotes accordingly
- Work with our AM team to understand upsell or invoicing timing
- Maintains confidential files concerning the company’s financial documents
- Communicates immediately to the CEO about anything concerning the financial status of the company.
- Monitor the day-to-day financial operations within the company (payroll, invoicing, and other transactions)
- Ensures that no overpayment of expenses/subscriptions/ monthly plans
- Prepare monthly and quarterly management reporting
- Participate in strategic data analysis, research, and modeling for the CEO
- Monitor weekly costs, expenses, and profit to assist the CEO have an overview of the company’s finances
- Ensure everyone in the team adheres to policies and regulations
- Ensures that payroll is correct before sending to the CEO for payment.
- Ensures that monthly accrual accounting and cash flow report are correct before sending to the CEO.
- Ensures that all refunds from 3rd party partners are done and on time
- Ensures that all payables (invoices) are audited before sending them to the CEO for payment.
- Oversee and on top of all transactions of the business and would communicate immediately with the CEO all the information for transparency.
- Manage the company's financial accounting, monitoring, and reporting systems
- Oversee the supply chain management
- Ensures that the supplier's pricing is correct and invoices from the suppliers are audited before payment.
- Ensure compliance with accounting policies and regulatory requirements
Requirement/s:
Bookkeeping skills REQUIRED

Experience in using FreshBooks
Ability to work and effectively communicate with senior-level executives
