JOB OVERVIEW

We are looking for a new Executive Assistant with a valid B1 visa to USA to support our Austin-based executive team. The Executive Assistant must be creative with strong attention to detail and enjoy working within a fast-paced, entrepreneurial environment. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

ROLE & RESPONSIBILITIES
• Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
• Conserves executive's time by reading, researching, and routing correspondence/email; drafting letters and documents; collecting and analyzing information.
• Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
• Attend meetings in the executive's absence; taking notes and report back to the executive.
• Welcomes customers by greeting them, in person or on the telephone, answering or directing inquiries.
• Maintains customer confidence and protects operations by keeping information confidential.
• Completes projects by assigning work to clerical staff, following up on results.



• Works closely and effectively with the Executive Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the team updated.
• Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
• Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
• Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
• Contributes to team effort by accomplishing related results as needed.
• Post-COVID-19, Travel to conferences and represent on behalf of the company in the USA and across the world.
