JOB OVERVIEW

Job title: Virtual Sales Assistant
Hours: 8.30 am to 5.30 pm Mon to Fri (AEST) with 1 hour lunch break (preferable)


A brief overview of the position

We are looking for an awesome virtual sales assistant to join our existing world class team in Sydney, Australia.

As a team, we strive for excellence and we put in the effort to liken our services to that of a 6-star luxury resort – every detail and extreme attention must be taken to help our guests feel loved and totally satisfied in our ---------- this role, you will play an integral part in handling our prospective patients in the most effective way to guarantee we do our very best to ensure that our goals and targets are met. To succeed in this role, it is very important to be organized, attentive to detail and able to follow procedures and protocols.

Key Responsibilities & Duties:

MAIN TASKS:

You will be responsible for:

Making calls to prospective patients to briefly assess/classify their situation
and guide them through the next steps according to the call scripts that will be provided;
Answering calls and ensuring that all prospective patients receive a response from you within 12-18 hours;
Daily updating information on CRM and other apps (Cliniko: add notes for your calls, appointments (calls); ActiveCampaign Deals: add/update interactions (calls) and notes.)
Processing payments and keeping our financial information, patient’s credit card details and payment processing gateways secured at all times.

Other Tasks:
Attending Information Session – attend weekly video conference with prospective patients and our clinical director to provide any support and assistance required..
Sales support as needed such as social media inbox and comments management, data entry reporting, etc.

Requirements

You work well under pressure and can meet targets/goals;
You are well spoken and fluent in verbal and oral English communication;
You are honest and trustworthy and can be trusted to process payments via eway and paypal from our patients on behalf of our clinic;
You have the ability to think 3-4 steps ahead of your existing task in order to plan for or foresee any potential issues that can either be prevented or addressed ahead of time so we can deliver stellar customer service;
You are mature, responsible and have a solid work ethic;
You are fast, accurate and have excellent attention to detail;
You are able to follow written and/or verbal instructions with minimal to no assistance;
You bring new ideas and suggestions on how you can improve the efficiency and effectiveness of your role;
You are a fast-learner and possess excellent attention to detail with a delightful attitude of service;
You are punctual, organized and uncomplicated;
You have the ability to complete multiple tasks in a fast, effective and efficient manner.

You are a well-liked and esteemed member of our family whose input continues to ensure the team:

Functions with the absence of administrative blunders;
You seek clarification, ask questions (and document by writing up the answers into a system checklist for your role) whenever required in order to ensure you deliver your role’s objectives to the highest possible standard;
You fully complete every task you begin without having to be reminded by anyone else;
Patients are nothing but complimentary regarding our excellent customer service and as a result of your input, as a team – there are no complaints or frustrations about our administrative service delivery;
Your role’s tasks are complete at the end of each day.
You will comply with patient confidentiality and all privacy and Security of Data Standards
After your training period (2 weeks) you are fully able to work uninstructed and unattended. You can walk into the office and diligently and effectively know exactly what needs to be done and you can deliver your role’s objectives without asking anyone “what needs to be done next” because you understand and follow the system and written procedures manual;
You fully complete every task you begin without having to be reminded by anyone else;
Your role’s tasks are complete at the end of each day.
You will be able to demonstrate that you have been able to take on more assigned tasks
