JOB OVERVIEW

THE ROLE

The e-Commerce Operations Assistant plays a crucial role in the Amazon Marketplace Ecosystem. The quality of the work spells the difference between success and failure for the organization.

The main function is to provide support to daily operations in the key result areas of Order Fulfillment, Supply Chain, Accounting, and general Administration.

The duties and responsibilities include, but not limited to:

SUPPLY CHAIN
• Manage supplier relationship, including reconciliation of inventory and review of suppliers performance
• Coordinate with suppliers for tracking of shipments (through email and some voice calls)
• Respond to customer queries

ORDER FULFILLMENT/INVENTORY MANAGEMENT
• Monitor and update the Inventory System, including tracking of inventory levels to ensure no out-of-stock products

ACCOUNTING

• Perform Invoice fetching and Bookkeeping functions
• Coordinate with accountants concerning budgeting, forecasting, and financial reports preparation
• Process Timekeeping & Payroll
• Manage Accounts Payable and Accounts Receivable
• Maintain and update accurate financial records

ADMINISTRATIVE

• Provide general administrative support to the Director and Managers within the Organization
• Generate data-driven reports, including business insights
• Conduct business research
• Perform other operations-related functions

THE REQUIRED COMPETENCIES

• BS Accountancy graduate, from a reputable university
• At least 2 years of relevant experience in accounting and bookkeeping
• Business Acumen
• Analytical and Problem-Solving Skills, including Data Analytics
• Planning Skills/Time Management
• Technology Skills - Google Suite, MS Excel, Social Media (eg Slack, Whatsapp, Facebook Messenger, Skype, Zoom, Trello)
• Communication Skills; fluent in English – spoken and written
• Customer Service Skills
• Collaboration/Interpersonal Skills
• Research Skills particularly online search
• Strong attention to details (and on this note, when asked what your favourite animal is on the application form - please enter gorilla).
• Results-driven and Proactive
• Willingness to perform various functions

• Comfortable working in a fast-paced and digitally-centric environment

THE REQUIRED TOOLS

• Desktop/laptop
• Computer specs:
o Processor - i5 or higher
o RAM - 8 GB or higher
• A fast and stable internet connection (at least 5 MBPS) and with a back-up internet (eg pocket wifi)
• Noise-canceling headphones
• Web camera
Skype for video calls
• Quiet and professional work station
