We’re looking for an awesome, reliable, and experienced Project Manager/ Executive Assistant for a CEO of a US-based Public Relations (PR) and media strategy company.
The company is small but growing quickly. They are looking for new team members who are collaborative, fun, optimistic, and energized by a supportive but self-motivated startup environment. Work is currently virtual.
The core of the business is launching socially responsible companies into the media stratosphere, and their clients include neuroscientists, mental health tech startups, community living organizations, conscious relationship coaches, and progressive sex education activists. They only work with people who are doing good in the world.
Founded by a former journalist, they have deep relationships with some of the best reporters and top outlets - print, tv & podcasts - in the country. They get their clients epic, unforgettable coverage in both traditional media and on multiple social media platforms with influencers, and they have an awesome time doing it!
CORE ROLES & RESPONSIBILITIES
The Project Manager/ Executive Assistant will support the growth of the business by providing excellent project management and people management skills. This includes:
* Serving as the right hand of the CEO/ business owner/s.
* Keeping track of and ensuring the timely implementation of weekly deliverables for the different areas of the business.
* Keeping track of key deadlines for business scaling projects and managing resources to meet those deadlines.
* Troubleshooting / follow through on stuck points/keeping projects on track.
* Tracking and reporting on key company metrics to make sure work efforts are moving the company in the right direction.
* Root cause analysis and action planning - creating proposals for implementation
* Organization and management of company assets & resources
* Creating and managing the company’s Standard Operating Procedures (SOPs), making sure they’re always up-to-date
* Hiring and onboarding of staff as needed
* Being positive and supportive of staff to keep them motivated and inspired to do great work.
* Quality Assurance for support staff output to ensure the level of desired quality and efficiency.
* In addition to project management, this position will require actual support activity on the “doing”
QUALIFICATIONS
* At least 2+ years experience as an Operations Manager/ Project Manager
* At least 3+ years of experience as an EA/ virtual assistant working with US-based companies/ business owners
* Great communication skills including being a strong English speaker (Regular zoom calls)
* Takes initial direction and runs with it, producing results exceeding expectations
* A positive, “can do” attitude even under pressure
* Enthusiastic and fast learner
REQUIRED SKILLS
* Eye for upleveling, organization and automation
* Project Management skills - Keep a top-level eye on the goals and our progress.
* Experienced using Asana, Gantt Charts, Toggl, and other tracking tools
* Above average with Google tools (GDoc, spreadsheet, etc)
* An eye for marketing and refining the customer life cycles for ongoing optimization and automation.
* Creating and tracking metrics
* Strong people skills
PLUS SKILLS
* PR experience is an advantage especially creating compelling pitches & establishing relationships with journalists & influencers
* Running & managing social media accounts
* Managing the company’s website
