(Virtual Position)
I’m looking for a detail-oriented, dynamic, full-time operations manager. You see problems coming and fix them before they ever hit my desk. You’re comfortable tracking deadlines and working in a fast-paced startup environment. You are looking for a long-term role at a company that has all intentions of changing the world with the help of its dynamic team.

Hi! My name is Ashley Kirkwood and I run two fast-growing brands that need your attention. I run both a law firm, Mobile General Counsel, where I help small businesses with trademarks and contract and communications training; and a speaking platform, Speak Your Way To Cash, where I speak at colleges around the country and train other speakers on how to do the same. I also host the Speak Your Way To Cash Podcast. Still with me? Okay. So, as you can see I have a lot going on. That’s where you come in, hopefully. You will be helping me keep all the boats afloat and running smoothly.

You are:

An organization whiz and willing to create Standard Operating Procedures (SOPs) and training manuals as well as how-to videos so that if you get promoted (woot woot) or need to take a sick day, another person could flawlessly execute the day-to-day tasks.
Super client-focused, such that you have no problem managing a heavy client load and ensuring clients get exactly what they need.
A servant-leader, who can rally the team to ensure all of their tasks are completed in excellence.
Excellent at managing people and have no problem correcting other people’s work and ensuring that small fires are put out before they grow into large problems.
A tech whiz, and love learning or masterning new tools and have a working knowledge of Dubsado, Kartra, Acuity, Hubspot, and ---------- t a graphic designer, necessarily, but are dangerous enough in Canva and know how to make Google forms and Eventbrite pages look good-enough in a pinch.
Super responsive and wicked quick with getting back to me via email, slack or What’s App.
Great at giving me daily updates and sometimes multiple updates a day on where we stand with projects
Full of great ideas for how to automate our tech and make our company run smoothly and get more clients.
An exceptional writer and have great communication skills, such that calling and emailing clients and potential clients with updates and news is no problem.
Someone with super-fast and reliable internet as this is a full-time remote position.


Let me reiterate, this position will work remote MUST have strong ---------- short, you are the layer between me & the day to day.

Your #1 priority is making my life simpler by taking the management of team-members and tasks off of my plate. Your job is to step in for me and ensure that the brands are running optimally.

SAMPLE PROJECTS:

A. TASK AUDIT

You’ll ask me in detail what I do everyday to determine what you can take off my plate. If you don’t take your time to cover every inch of my day, I’ll keep doing certain tasks myself without even realizing it because it’s second nature and I’m super self-reliant. So, you’ll get nosy and dig into the details.
You will audit all the tech systems in our business and delete the Dubsado workflows and systems that no longer serve the company. You are super excited by sequences, tags, and automations that help to drive revenue in the business so you subscribe to all of our email lists and ensure all emails are going out perfect each time.

B. DECLUTTER, ORGANIZE, RESPOND & MANAGE THE BUSINESS INBOX

There are prospects who reach out to inquire about either speaking or legal services. You will ensure that my administrator responds swiftly and accurately to all requests. If she misses a response, you take over and just handle the responses and talk to her about the email she missed later. The goal is to get things done efficiently and to the satisfaction of the client without involving me for each and every task.
You’ll create a document focused on FAQ for prospects that you can refer to and pull from to help make both our lives easier.
You’ll ensure that my podcast manager is properly scheduling podcasts and there are no type-os in the emails scheduled to go out.
You’ll engage with the current Speak Your Way To Cash community to help them join our other programs and offerings.

C.MANAGING FUTURE PROSPECTS
You’ll focus on improving the business process: lead generation, data behind the emails, and creating a plan to grow our customer base.
You’ll follow up with clients who have not yet signed up as clients, but who have completed their consultation calls with myself or another attorney on the team.
You’ll focus on managing the high level relationship with current clients - you will arrange client birthday gifts and the like and help highlight clients in our bi-monthly newsletters.
You’ll also focus on managing the relationship with prospects, following up with them during the sales process.

E. PROJECT MANAGEMENT

You’ll set check-in meetings with myself and team members to review our priorities for the week and to make sure we’re on track to meet our goals
You’ll manage our timeline and set course on what we’ll need to focus on
You’ll be my partner in completing creative tasks I may get stuck on, such as talking through email copy, reviewing a video, etc.
You know our clients, you look them up on Facebook to interact with them and tell them congrats about new products and launches. When you see them launch something new, you ask if they are comfortable with us sharing their win as a client win and you schedule the email that day.
If you ever don’t understand a tool you Google a solution and email support and flag it for me, while also letting my know what steps you have taken to rectify the issue.

F. BUSINESS & BRAND GROWTH

When necessary, you’ll complete tasks associated with business & brand growth, such as applying for an award/recognition, doing welcome/sales calls, press outreach, event planning, etc.
You will manage pitching and the solicitation of new customers via Hubspot or a similar CRM.

PERKS & COMPENSATION:

This is a Full-Time role. You’ll work directly with me and get access to my trainings so you’re equipped to be successful in your ---------- pensation $1,000 - $1,200/Month
Time Commitment: 40 Hours Weekly
