JOB OVERVIEW

We are looking for a VIRTUAL ASSISTANT to involve in our daily operation, communicating with our team, and involved in marketing and sales processes. The predominant responsibility of this role is to assist the company’s Director, Finance and Operations personnel making sure daily operations and administrative work are conducted on a timely basis, accurate and quick.
Supporting daily operation is critical for you to be successful
Social media content creation and management is desirable - NOT compulsory

Qualities required for the role:
* Have prior experience as VA assisting management position
* Effective communicator - express English well verbally, text, email and video conferencing
* Experience in documenting Procedure + Processes
* Attention to detail - All details must be carry out accurately with no supervision
* Discipline - Structured, organized and follow instructions and procedures
* Problem Solver - take on challenge, find a way and takes ownership
* Honest - being open and live with integrity
* Reliable – Able to gets work done fast, on time and accurate
* Good at following instructions and documenting processes.
* Hunger - Have Initiative and desire to grow
* Initiative - to automate, improve current ---------- sire to learn and be more
* Experience in creating + managing procedures
* Reliable internet connection and a personal computer/laptop to perform your online work.

Work Arrangement - Commitment we looking for
* Follow Australian hours and holidays
* Available to work between 9am - 5pm Melbourne time
* Responsive and available PART TIME
* 4 hours work day, 5 days per week

Hours will be fluctuating due to the current COVID19 condition.


Key responsibility - nature of your work
* Documenting and update Procedure + Processes in Sweet Process
* Follow instructions given on video
* Create procedure according to guideline
* Capture screenshots from photos, video
* Adding arrows and explanation for clarity for the user
* Assisting in daily operation
* Provide daily email updates
* Preparing Sales documents on timely basis
* Creating and Updating procedures in Sweet Process
* Updating system information
* Communicating with clients + cleaners
* Email Management + response to client
* Assisting director and relevant personnel in the company
* Projects management + Data mining
* Data mining for LinkedIn (and others)
* Ability to draw key content and prepare social media post
* Reach out to potential candidates and generate leads
* Basic website knowledge (prefered, not compulsory)
* Manage and update website content
* Upload content to website for news article and ongoing content

Responsibilities but not limited to the following:
* Updating Job scope email with photos / videos
* Transcribing & creating Procedure from videos and audios
* Uploading videos to YouTube
* Data entry
* Email management
* AdHoc projects

Social Media management (prefered, not compulsory)
* Creating content with relevant image / videos
* Understand and respond comment according to our values
* analyze performance
