Administrative, Project & Event Management for a Better World
We're looking for an administrative management professional to keep our team of driven, passionate, brilliant, but sometimes scattered non-profit team on top of every detail, ahead of every deadline, and looking great for our clients.
We design and facilitate intentional events (conferences, summits, symposiums, etc.) in the social impact space--everything from gender equity to climate change, food security to racial justice. We work primarily with NGOs, social impact organizations, and foundations; coaching them through the experience design process and delivering creative, participant-driven engagements that drive real change.
We're great at what we do--so much so that we've frankly got more work than we can keep track of these days. That's where you come in.
We need someone who can:
- Manage
- Organization, sort Google Drive folders and documents
- Build Google Drive documents: Sheets, Slides
- Listen to one of our designers talk through the scope of a project, ask questions, and translate that into a list of deliverables and a map of the project timeline and what needs to be delivered when
- Break down deliverables into tasks and assign them to the appropriate team member (we use Asana, todoist for our task tracking)
- Follow-up on tasks to ensure we don't hold each other up or miss deadlines.
- Research and price venues, caterers, and other vendors/suppliers and make recommendations to the team
- Interface with selected vendors for upcoming convenings; placing orders, arranging logistics, room setups, etc.
- Create and manage calendar invites, doodle poils, schedule zoom calls, set up surveys
- Track event participants through the invitation/registration process
- Communicate w/participants
- Collect travel details from participants and issue reimbursements (for smaller convenings with travel stipends)
