The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the President. The Executive Assistant serves as a liaison to the management and department; organizes and coordinates executive meetings.
As an executive assistant, he/she is the right hand to the President/CEO of the company. He /She also provides assistance to high-level executives within a company and is often trusted with complex duties and sensitive
Finally, as an EA, he or she should develop and maintain effective relationships with colleagues, collaborate on matters, exchange information, provide and seek feedback to facilitate high-quality services.
RESPONSIBILITIES
Assists the President/CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
Provide general office support – includes but not limited to: greeting visitors, some mailroom and kitchen functions, create and maintain filing systems; copy, bind and fax documents; update, process and distribute records, files
Answering phone inquiries, directing calls, and providing basic company information
Inform, advise and escalate emerging and sensitive issues to the President/CEO
Plans/organizes and implements events such as meetings, business luncheons, or client dinners
Manages executive schedule and acts as a liaison for the executive team
Prepares reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings
Handles confidential information; organizes and maintains files
Prepares information and research for executive needs
May help plan company events, meetings, and employee team building activities or special projects.
Trains, manages, and supervises administrative assistant
Minimum Qualifications
Graduate of a Bachelor's degree in business or other related course
Strong analytical and planning skills;
Good communication and presentation skills;
Strong organizational, project management and problem-solving skills
Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
Proficiency in collaboration and delegation of duties
Ability to work under pressure
Exceptional written and oral skills
