Real Property Management is a franchise owned property management organization. Each office is individually owned and our main headquarters is located in Hampton Roads, Virginia. We are currently looking for a Property Manager Associate who is looking to not only learn a new skill set and knowledge of the Property Management Industry, but also looking to grow and take advantage of the many benefits we have to offer our Virtual Staff. We have been hiring VA's to work on our Support Teams for over 4 years now and we highly value our teams for their dedication and drive to continue to grow within our organization!

We have a strong vision: 365 - 3,000 units, 6 offices, & 500 units at each office within 5 years. Currently, this RPM organization has over 4 offices, and 575 properties under management in Hampton Roads, VA; Peninsula, VA; Charleston, SC; and Queens, NY.

The position we are looking to fill will be our Queens, NY office. This office is looking to hire 2-3 PMA's. You will receive full one-on-one training which is scheduled out over a 2 week period, the first week will be learning the systems, getting established with your communication devices, policies, and processes, etc. The second week will consist of putting those newly learned skills to work while still under the supervision of your Trainor to ensure full comprehension of the job.

Hours of work will be Monday thru Friday from 9-5 EST, you will be expected to be present for the entire shift, unless you have approved time off, or are unable to come in for your shift due to illness or unforeseen circumstances we completely understand life happens!

Pay will be processed 2x monthly, on the 1st and the 15th of each month. You have a timesheet that you will track your hours and will be important that you turn in the timesheet to HR within a timely manner to ensure that you receive your compensation on time. ( Reminders are consistently sent out).

Property Manager Associate

The Property Manager Associate works to assist Property Managers (Other VA's) and Property Management Executive to achieve outstanding results for the company’s clients while providing customer service to our clients.

Reports to: Property Management Executive

Purpose of Role: The primary focus of a Property Manager Associate is to Provide Excellent Customer Service while upholding the standard of our Core Values.

Qualifications and Experience:
Experience in a customer service based role
Able to communicate effectively
Able to answer a high volume of calls and emails within the times allotted

Essential Responsibilities:

Support Duties:

1. Phone support during business hours
2. TImely responding to emails
3. Ability to research accounts and provide answers
4. Entering work requests and assigning to vendors. Daily follow up to ensure work is completed in a reasonable time
5. Communication with vendors, owners, and tenants regarding maintenance work orders
6. Using various means of communication for daily balance reminders
7. Daily processing of Invoices
8. Perform additional duties as requested by Property Manager, Property Management Executive or another Management
team member
9. Maintain RPM core values

Database maintenance:

1. Update database information and keep records maintained and current
2. Ensure security, integrity, and confidentiality of data
3. Update owners on late rent payments

Policies and procedures:

1. Uphold company and team policies and procedures
2. Handle customer inquiries and complaints
3. Transfer escalated calls to Property Manager as needed

Other duties as assigned:

1. Attend daily and weekly team meetings to review performance metrics
a. Number of Melds in charge of
b. Number of calls related to Accounts Receivables
c. Number of text messages sent related to Accounts Receivables
d. Number of emails sent related to Accounts Receivables
e. Any additional KPI’s, as may be determined in the future

2. Willingness to be on skype call while working shift so to be able to communicate with other team members and stateside
staff.

3. Vendor Records
a. Updating vendor insurance information in the database
b. Communicating with clients for annual programs
1. HVAC Checkup
2. Lawn Care
3. Sprinklers
4. Winterization
5. Pool Closing/Opening

4. Performance measures (to be monitored daily and improved on as needed) - These will be reported by the PM staff
a. Number of Accounts Receivables contacts
b. Percentage of calls answered live, individually and as a team
c. Percentage of emails answered in 15 minutes or less, individually and as a team
d. Number of reviews received, individually and as a team

Requirements:

1. Customer service experience in a call center environment
2. Knowledge of data, clerical and administrative practices and procedures
3. Computer proficiency – office software packages
4. Must possess and maintain RPM’s Core Values at all times

***Pay will consist of /hr rate, training is paid, there is a 90 day probationary period after that 90 days, pay will increase as per job offer agreement.***
