Team Hawk exists to help entrepreneurs package their skills and sell their coaching services consistently. We are growing quickly and looking for a hawkeye to serve as the control center for all the exciting expansion happening.

Key Responsibilities Of Your Role:

Project Management
+ Execute the business plan and ensure outcomes are achieved or exceeded
+ Filter and translate the CEO’s ideas into functional plans for the company
+ Develop comprehensive goals for performance and growth strategies
+ Update, create and maintain project plans in ClickUp
+ Delegate tasks
+ Monitor tasks
+ Monitor projects and communication expectations
+ Troubleshoot and assist with tasks as needed

Process Management
+ Oversee daily operations and make adjustments as necessary
+ Create, update and manage employee handbook
+ Create, update and manage core business SOP’s
+ Maintain and optimize digital filing system inside of Google Drive
+ Manage files, documents and photos in Google Drive
+ Provide quality assurance oversight
+ Weekly metric tracking
+ Quarterly review of projects and processes
+ Monthly income and expense reporting

People Management
+ Attract, retain, and develop a high-performing team
+ Lead weekly team meetings (excluding the CEO)
+ Lead weekly call with CEO
+ First point of contact for all team members
+ Lead onboarding and offboarding of team members
+ Train new team members
+ Lead, manage and hold team members accountable for achieving agreed-upon commitments
+ Promote and maintain company culture

Live Event Management
+ Research and book vendors and venues
+ Manage communication plans for attendees
+ Research and purchase items needed for the event

Learn more about the role:
+ The Executive Assistant is the nucleus of each project. She/he will be held responsible for how well things get done in the project.
+ The Executive Assistant will evaluate each project daily to make sure it’s on pace, and prioritize the project flow as needed.
+ The Executive Assistant is in charge of expanding and contracting the team as needed for the company. (For example, we run a nimble ship but may need a copywriter, photographer, or new team member to support new project ---------- ’ll be your job to find, direct and manage them.)
+ The Executive Assistant works with team members such as the marketing assistant, administrator, tech support, podcast editor, etc. These are people working on other projects at the same time, and the Assistant Business Coordinator will be responsible for getting status updates from them daily/weekly.
+ The Executive Assistant is responsible for building all necessary SOPs (Standing Operating Procedure)
+ The Executive Assistant is responsible for making sure SOPs (Standard Operating Procedure) are followed and deadlines are met by each team member.
+ The Executive Assistant reviews each increment to make sure it’s a working increment (i.e. an increment can be an opt-in page).
+ The Executive Assistant tests everything, serving as the final check before something goes live.
+ The Executive Assistant manages the ‘Task Boards’ (The ‘Task Boards’ is all company project scopes in ClickUp broken down by: Tasks To Do, Tasks In Progress, Tasks Completed and is updated daily.)
+ The Executive Assistant will run the “Weekly Hawkeye Huddles” to make sure their team members are focused and moving forward on the right task board item.
+ The Executive Assistant is responsible for knowing if the work being delivered by the team is on brand and of appropriate quality.
+ The Executive Assistant will QC each task to ensure that it is ready to publish. And if it’s not, the Assistant Business Coordinator will require more work on the task.
