PART-TIME ADMINISTRATIVE ASSISTANT
Do you LOVE crushing your to-do list?? Let's talk! We are a real estate private equity based in South Florida seeking a part- time (with the desire to move into full time in the next 12-24 months). Administrative Assistant to be responsible for organizing and supporting our aggressive fast paced President.
This is an opportunity for the right person to be the right hand to the head of the company, managing the operations/Administrative side of the business. The ideal candidate is energized by the idea of helping a leader reach their full potential and receives intrinsic rewards from investing in others. The ideal candidate will have a background in real estate; however, this is not a requirement.
We are looking for an individual with a proven track record in implementing systems and procedures in an casual office setting who has extreme attention to detail, communicates effectively and is not phased by high pressure situations. This person will have a strong sense of urgency and must LOVE crushing his/her to-do ---------- is important that this individual is upbeat, meticulous, extremely computer savvy, and welcomes feedback as a tool for growth. This person will be somebody who will assist in achieving our vision for team growth and expansion. He/she will be ready to conquer the world with a high-energy team! Responsibilities:
• Assisting and supporting highly-driven Type-A executive to focus and prioritize tasks that create revenue and efficient time management.
• Conserves executive’s time by reading, researching, and routing correspondence, drafting letters and documents; collecting and analyzing information; initiating telecommunications.
• Produces information by transcribing, note taking, inputting, editing, retrieving, copying, scanning and transmitting text.
• Coordinating and preparing in advance daily calendar, To Do lists, and preparation of the next days call lists.
• Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
• Responsible for all reporting of daily, weekly and monthly numbers for interns and sales people.
• Managing day-to-day office operations and managing interns that work remotely.
• Attend and prep for executive meetings as needed.
• Maintain database and data integrity (CRM, files, all records);
• Ability to document systems and processes, maintain the integrity of "how we do it here" and train and act as liason with interns.
• Manage system to maintain and track property data, schedules, and reports.
• Manage the operational details surrounding the recruitment, training, hiring and management of interns; Including but not limited to coordination with local universities, scheduling, etc.
• Answering calls, acting as gatekeeper, and liaison to interns, attorneys, bankers, vendors, etc.
• Oversee, update, and responsible for new deal pipeline. Monitor on market property property listings and coordinate with brokers via email in initial outgoing communication, to provide additional information, and track progress.
• Research properties using Co-Star, Zillow, sunbiz, Loop Net and various other municipal websites to obtain relevant information such as zoning, traffic counts, land size, pricing, etc.
• Bookkeeping duties include writing checks, payroll, making deposits, coding bills, data entry, tracking due dates and detailed project expenses, collecting receipts and updating various Excel spreadsheets.
• Maintain the standards, good will and reputation of the team.

QUALIFICATIONS
•Self-starter with excellent memory and ability to multi-task
• Enjoys a fast paced environment and works well under pressure; must be resourceful and stays calm in high pressure situations.
• Strong organizational and time management skills, with ability to assess, prioritize and act quickly.
• Experience exercising discretion and confidentiality with sensitive company information
• Excellent written communication skiils
• Ability to read complex legal documents for reading comprehension as needed.
• Ability to communicate clearly via in-person interactions, phone, email, text.
• Technologically savvy, able to learn new programs quickly, troubleshoot issues and figure out best practices/solutions.
• Proficiency in MS Office and/or Mac OS basic programs: Word/Excel, PowerPoint,etc
• Learning based and solution oriented.
