JOB OVERVIEW

U.S. based company is seeking a Virtual Administrator for a fast-growing U.S. based software-oriented company looking for a talented, self-motivated remote individual to join our service & operations team. The Virtual Administrator will act as an extension of the operations team to execute daily functional needs, implement improvements, execute business objectives, handle request and queries, ensure project deliverable are on time, and reinforce team collaboration and Client-Partner relationships.

Duties and Responsibilities:
• Provide strategic administrative support to the organization.
• Maintain complete and accurate customer database and generate payment solution documents and reports.
• Produce reports, presentations and documentation.
• Provide exemplary planning and time management skills to all assigned task.
• Ability to multitask and prioritize daily workload.
• Ability to use discretion and confidentiality.
• Effective internal/external communication virtually, over the phone and in person.
• Ensure all work is completed per requirements, on time and in a professional manner.
• Assist with special projects as assigned.
• Manage customer communications in a professional and relationship building manner.
• Conduct persuasive verbal communications with customers to gain their interest in scheduling follow up discussions and meetings.
• Enter all work-related data using ConnectWise (CRM) administration.
• Synthesize complex and diverse information.
• Responsible for generating weekly reports.
• Execute New Projects processes in CRM (ConnectWise).
• Create presentations and generate creative solutions.
• Respond to internal/external communications.
• Support the execution of ServingIntel operations team meetings.
• Take dictation and minutes of all client and team meetings and accurately enter data into internal systems.
• Develop and carry out an efficient documentation and filing system.
• Ensure efficient and effective utilization of all current and new software and applications.
• Reviewing and sending out materials to internal/external sources, ensuring proper documents are received; and other needs as required.
• File and retrieve corporate documents, records and reports.
• Handle confidential documents and material.
• Sort and distribute incoming correspondence, including faxes, emails, and tickets.
• Perform other tasks directed as needed.

Qualifications:
• 2 – 5 years as an Administrative Assistant or Administrative Assistant working in operations and/or the industry of technology.
• Must be self-directed and self-motivated with strong presentation and organization skills.
• Bachelor's Degree in Business Administration, Computer Science, Information Technology or equivalent experience.
• Excellent organizational and time-management skills.
• Ability to collect and document business requirements, technical requirements and process flows.
• Advance knowledge in Microsoft Office applications and CRM software.
• Strong time management and organizational skills, ethical, loyal, serving attitude with attention to detail.
• Ability to work independently and exercise excellent decision-making skills.
• Able to forge strong relationships with colleagues and client partners.
• Highly analytical, detail-oriented with advanced troubleshooting and multi-tasking skills.
• Excellent verbal and written communication skills.
• Skilled at organizing work tasks, meeting deadlines and producing accurate and complete work products.
• Flexibility to support a variety of projects independently as well as part of a team to accomplish common goals.
• Consultative communications style – effective listener.
• Cooperative and willing to assist with all special projects and other duties as assigned.
