JOB OVERVIEW

Recruitment Assistant (VA)
Hours: Monday to Friday 08.30 – 17.30 GMT or 14.30 – 23.30 PHT

We are looking for a Recruitment Assistant (VA) to support a specialist recruitment company that operates in the engineering/infrastructure sector within the UK. The business is run by two Directors that have over 20 years recruitment experience within this sector

Key duties in the role are:

Research / eResourcing
? Searching for candidates on LinkedIn Recruiter/ company database and UK advertising boards
? Posting ads on job boards – Recruitment Website (Wordpress), LinkedIn, CV Library
? Searching for candidates on job boards
? Handling ad response and pre-screening applicants
? Outbound recruiting calls to pre-qualify passive candidates

Social Media Management
? Curating content relevant to our audience
? Writing tweets and LinkedIn updates
? Social networking on Twitter, starting conversations, replying to mentions, thanking followers and retweeters
? Sending invitations to connect on LinkedIn
? Following up with LinkedIn connections, start conversations
? Convert conversations on LinkedIn into warm leads / appointments

Accounting
? Bookkeeping – Scan and upload receipts to Receipt Bank (or manual filing system)
? Bookkeeping – Add clients, suppliers and transactions to your cloud based accounting package – we use Upgrade to see actual info
? Payroll
? Invoicing
? Credit Control – chasing late payments (reduce debtor days, improve cash flow)
? Accounts Payable – making sure your bills are paid on time

Administration
? Process your email inbox, delete or archive items that don’t require your personal attention, flag up any urgent messages, check and clear Junk folder
? Actioning emails that do not require your personal involvement according to a pre agreed set of instructions
? Go paperless – Scan and upload documents to the cloud (One Drive), shred the hard copies
? Word Processing – Type, print and mail letters you dictate; Create proposals and reports from your notes
? Email Correspondence – Write and send emails you dictate
? Prepare standard documents for signing, e.g. Fee Agreements, Terms of Business
? Data entry – Keep your CRM (Client Relationship Management) / ATS (Applicant Tracking Software)
? Send out Interview Confirmations to clients and candidates
? Create and update spreadsheets (Excel)

Customer Service
? Answering the phone, transferring important calls to your mobile, taking messages
? Answering FAQ’s over the phone or by email
? Following up inbound leads / enquiries (phone and website) and scheduling appointments for you
? Recognizing your VIP clients who phone and handling their call according to your instructions
? Client Satisfaction surveys
