JOB OVERVIEW

A rare opportunity to join a forward-thinking digital agency (based in Australia) awaits for a proactive, organised & driven Virtual Assistant with a marketing background.

The role will be a mix of general VA duties/admin, project management, client communication and customer service.

Examples of duties:

General VA:

* Manage filing systems, update records, and organize documentation
* Arrange payments for vendors, travel, and sales expenses
* Create purchase orders, track and manage payments
* Update spreadsheets, databases and inventories with statistical, financial and non-financial information
* Appointment setting and calendar management

Project Management:

* Coordinating different resources and brining everything together to deliver projects
* Briefing staff members and contractors and then managing and driving them to complete and deliver work on time
* Assist in the organizing of promotional events and traditional or digital campaigns and attend them to facilitate their success
* Conduct market research and analyze consumer rating reports/ questionnaires
* Employ marketing analytics techniques to gather important data (social media, web analytics, rankings etc.)
* Recruiting new contractors and other resources required to execute on projects

Client communication and account management:

* Communicate directly with clients and encourage trusting relationships
* Prepare and deliver client account and internal reporting
* Answer client questions and be the bridge between clients and the execution team on day-day matters
* Email/phone communications with clients, internal/remote team and third-parties
* Prepare and organize databases and reports

Customer Service:

* Respond to emails, facebook messages and comments on a daily basis
* Make outbound phone calls to clients who require it
* Process returns and replacements for ecommerce clients

What we're looking for:

* Experience across all aspected mentioned above: VA, Project Management, Client Communications and Customer Service
* Experience working for a marketing agency or department or other related organisation
* Proactive - takes charge and thinks ahead on what needs to be done and doesn't wait to be given instructions
* Demonstrable ability to multi-task and adhere to deadlines
* Min 3 years experience in similar roles
* Exceptional verbal, written and spoken communication skills
* Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars. Website and ecommerce platforms advantageous (eg shopify, wordpress etc)
* Highly organised individual who works well with fast-paced directions and instructions
* Demonstrates excellent time management and ability to organize and manage large amounts of files, tasks, schedules, and information
* Self-directed and able to work without supervision
* Light - Medium Digital Marketing Skills (e.g. social media community management, light technical setup)
* High School diploma; BSc in Marketing, Business or relevant field is a strong advantage
