Logistics Coördinator for a Dutch online company (Full time)

Description:
We are a young, small and fast growing Dutch company selling trees and plants online both business-to-business and business-to-consumers mainly on the German market (www.buchsbaumshop.de, www.thujashop.de). We are searching a smart, reliable, active and confident full time logistic coordinator who takes responsibility in making our day-to-day logistic operations in Germany run smoothly. During high season each workday we send pallets and boxes with plants to the customers that ordered on one of our webshops via couriers and transport companies. They are packed in Germany by our packing staff. You will support them in such a way that they can sent out the right products to the right customers on time.


Key responsibilities:
• Check new customer orders in the webshop Admin
• Workdays: Data entry: prepare package labels of all new online orders that came in.
• Workdays: send the Package Address labels to our packing staff in Germany.
• Workdays: keep contact (via Skype Text chat or Skype phone) with our packing staff in Germany during the time they pack to assist them.
• Workdays: after packages are shipped send confirmation and invoices to customers per Email (standard texts/emailing is highly automated).
• Workdays. Send after-sales-mails to our customers.
• Workdays: Keep track of the movement of shipped orders. From packaging to reception by customer. You are responsible to know where packages are and what their status is by using the tracking systems of GLS and IDS.
• Regularly: keep contact (mostly via email) with transporters if something is wrong with a delivery or pick-up.
• Be 90-100% available online for requests during the established work hours. This is not a side job.
• All other non-regular tasks relevant to the company’s activities
• Come up with suggestions/ideas to make your own work more efficient and to help us grow.

IT/ You will basically work with:
• The Administration part of our webshop. In English. You can login via internet.
• The software of our international logistic partner GLS. To prepare the package labels (PDF’s) that you will sent to our packing staff in Germany. You can login via internet.
• The software of our international logistic partner IDS. To prepare the package labels (PDF’s) that you will sent to our packing staff in Germany. You can login via internet.


Further IT requirements:
• Internet/ computer savvy. Basic skills in Excel/ Word, basic E-mailing, Internet searching


Reporting lines:
• You report to: at first: Jan Elroy Haeser, General Manager/ owner .

Working hours/ time table (times in GMT +1: Amsterdam Time)
• Essential: each morning on working days before 8.00 in the morning the packing staff in Germany need their package labels sent by you via Skype.
• Essential: between 9.00 and 13:00 hours new orders might come in. We ship new orders the same day if the order came in before 13:00 hours. Package staff needs to receive package labels from you for these orders as well.
• Essential: send standard e-mails to our customers after packages are sent. Around 14:00 hours.
• After 14:30 hours the packaging and pick up by transporters is done. Basically you need to be online available between 8:30 and 16:00 hours. Our estimate is that at this moment in general you will be able to do the job within 4 to 8 hours per day.


Holidays
• You have 24 days of Holiday per year. Please share your holiday plans in advance so we can plan and organise around them.
• You get paid during holidays.
• In November/ December and January the number of orders is much lower. So you will have more free time in this period. This will more than compensate the overtime you are sometimes asked to do during the high season (March/ April/ May/June and September/October.)


Probation & Training Period
• A Training Period of 4 weeks is part of the job. In this period you will receive training and we will evaluate your progress and skills and interaction with other co-workers. You will receive on-the-job training by our current logistic coordinator from the Philippines . Training will be done step by step and we will take time for it. You will never have to do anything for real as long as you are not ready for it. Training will be given with a mix of instruction videos, manuals in MS Word and Skype Chat or Phone conversations.


Payment
• After the Probation & Training Period you will be paid a regular payment per month, based on an average 40 hours per week, 12 times per year, paid at the end of each month. If we are happy with you and you have proven your competence, commitment and loyalty there will be ample growth opportunities, both in responsibilities and/ or payment at the end of the year.
