JOB OVERVIEW

Job Brief
We are looking for a motivated and detail-orientated Virtual Assistant to provide administrative support to our fast-growing practice. You will be required to perform various administrative tasks, including appointment setting, diary and email management, customer service, market research and offering general support to the company’s director. We require a VA with extensive experience in appointment setting and customer service, particularly an individual with excellent communication skills and ability to work independently under minimal supervision. We are looking for someone who can be a long-term asset to our growing company, a trust-worthy individual who is committed to helping our company grow.

About Us
We are a specialised medical nutrition clinic based in Perth, Western Australia. We currently have 4 clinics around Perth, in addition to offering online consultations. As a premium nutrition clinic, we are committed to providing a high quality service and individualised experience for our clients.

Key Responsibilities:
• Answering inbound calls from clients for appointment bookings (on our virtual PBX system)
• Responding to online booking enquiries and solving problems
• Confirming appointments via email or phone
• Following up on missed appointments
• Basic administrative tasks
• Data entry
• Performing market research and compiling Excel spreadsheet
• Transcribing voice recordings to written letters for doctors

Hours Required:
• 9am to 5pm (Perth has the same time zone as Phillipines)
• Monday to Friday

Essential Requirements:
• Minimum 2 years’ experience in customer service and diary management
• Excellent communication skills, both written and verbal
• Neutral English accent, with a warm and friendly telephone manner
• Experience with using Skype for Business
• Proficient computer skills, including Microsoft Word, Excel, Outlook, Dropbox
• Good typing skills (quickly and accurately)
• Strong attention to detail
• Fast learner and motivated individual
• Excellent time management skills
• Strong organisational skills and ability to prioritise workload
• Secure and high speed internet connection

We are looking for someone to enter into an exclusive work arrangement. You will not be allowed to undertake any other work as we need the candidate to focus on helping us grow our company. Full training will be provided, along with regular support with the director. We are a growing practice so we will be offering more opportunities for the right candidate.
