JOB OVERVIEW

We are the design and development firm for ---------- . We have reviewed Zoho and Salesforce. We are now actively considering Zoho. I have not installed a Zoho system before for a client, but from what I see it looks like a good fit.


Time for Implementation: I want to test first then we will want to move forward right away. My goal is to remove the paper from this business. Website is ----------

No of recruiters: there are only three people that would need access to the recruiter section. With three swim schools, we are continually searching for the following: Lifeguards, Swimming Instructors, Desk personnel. I do not anticipate an extensive job board. My goal would be to take the whole application process ---------- is a labor burden to interview and then hire and then make sure the paperwork is filled out. Then communicate with the employee that their paperwork is filled out. We want to take the whole employee hire system online and then store all employee ---------- of employees: 100. I am very interested in the people module. Specifically how shifts work. We have a huge issue where employees want to swap and change shifts. We also have a strong need for a shift or daily log where all the managers have a communication method where they can keep up with updates and communicate with each other each day. We need a way to quickly email (or text would be our first choice) all employees, employees at a single store and granular for a shift or time frame. On the employee we use Quickbooks, and we want to move to QuickBooks online. We want all employee info to sync with QuickBooks online. Currently, we use ADP for payroll, but we are open to using Quickbooks online or other options. We have several typical HR employee documents that need to be used and filled out each work week. For example, if there is a sanitation issue with the pool. We need to fill out the report, collect some necessary information and then send out a text and email to all the students and instructors that have class at that time or the rest of the day while the pool is closed. Employees evaluation forms, time off request, change of address, etc. I also envision that we have the employee handbook online and their signature online. I am open to any document sign format. The client is not hooked to any system at this point. We can use Google Drive or any other method. I am not a fan of Dropbox. I do support Google Drive, or Box or the Zoho storage. I am open to a drop box if you can show me it is a good solution.

Modules needs: people, recruit, IQ, CRM then I am open to others that make sense. I spoke to ZOHO and they suggested ZOHO One for the 3 admins and that I use 100 ZOHO people liceses for the employees.

Particular requirements if any: we use Formstack for all web forms. We use campaign monitor for email marketing. I have both syncing to Google Docs. Currently, the client is in Microsoft Office 360, but they have provided me the green light to move them over to google G Suite. I have them on live chat. We have issues with facebook messenger, Google Messenger questions going unanswered. My goals are to unify all the sales funnel streams into one interface where the General Manager or Sales manager can adequately communicate with potential new customers. The schools are on Links POS system. ---------- . They have a module where parents can log into and update their credit card and cancel ---------- would be fantastic if Zoho integrated. I do not think that it does. Links does have some customer relationship tools. The main thing we will use it for is the parent portal and maybe the text to communicate with that class.

As I stated earlier, we have a 4th location coming on board in February 2019. If we can start generating leads in social media and our webpage so we can contact them when we are open is another feature I am considering.
