Hi,

We hope this time right now finds you well!

We are Jungle Creative (a brand of Zenola Limited), a start-up company marketing and branding agency, registered in the U.K. Company registration number – RegUpgrade to see actual info(Zenola Limited).

We have a requirement for an Executive Virtual Assistant to become an extended part of our team, this person has to be special – we emphasise prior to getting in the detail, DRIVE, PASSION, MULTI-DISCIPLINE SKILL SET, ORGANIZATION SKILLS, TIME MANAGEMENT, COMMUNICATION SKILLS & ATTENTION TO DETAIL, HONESTY, TRANSPARENCY & INTEGRITY are a MUST before we go any further....

Ok, so a bit more about us. We are a fun, creative, energetic and fast-paced, ever-evolving company which has started with a BANG! We are extremely passionate about every aspect of what we do and we are looking for that special someone to become part of our high-paced company to become an extended, yet integral part of our team who is there to enjoy the journey of growth with us!

We should ass to back this up, we have landed our first major client (with more in the pipeline) and we agreed to state at this point, whoever the chosen candidate is for this role will be provided with quality leadership, detailed instructions will always be given and clear expectations will be set. A good wage will be agreed for a trial period of 14 days. Providing the trial works for both the company and the virtual assistant, there will be chances to be part of a generous bonus system based on personal and company performance going as we grow.

EVA RESPONSIBILITIES:

- Preparing financial statements, reports, memos, invoices, letters, and other documents.
- Answering phones and routing calls to the correct person or taking messages. (if required). This may also be chatbots, messaging clients and suppliers etc.
- Project management reporting ensuring measured and routine customer service. (Details to be discussed).
- Handling basic bookkeeping tasks. (familiarity with QuickBooks online is required).
- Filing and retrieving corporate records, documents, and reports.
- Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
- Helping prepare for meetings.
- Accurately recording (if present virtually) or detailing minutes from meetings as instructed.
- Using various software, including word processing, spreadsheets, databases, and presentation software. (QuickBooks online, Salesforce, Upgrade to see actual info) and potentially others.
- Reading and analyzing incoming memos, submissions, and distributing them as needed.
- Making travel arrangements for executives.
- Performing office duties that include ordering supplies and managing a records database.
- Experience as an executive virtual assistant.
- Opening, sorting and distributing incoming emails, and other correspondence on all online platforms (LinkedIn, Instagram, Twitter, Pinterest, Facebook, Blogs etc.) and from the Website.
- Preparing of content for Social Media Content (coordination), uploading and managing across all channels.
- Provide general administrative support and carry out other tasks as and when required.

EVA REQUIREMENTS:

- Proven experience as an executive virtual assistant or other relevant administrative support Upgrade to see actual info-depth understanding of entire MS Office suite.
- High school diploma. (or similar or proof of VA experience).
- Ability to organize a daily workload by priorities.
- Must be able to meet deadlines in a fast-paced quickly changing environment.
- A proactive approach to problem-solving with strong decision-making skills.
- Professional level verbal and written communications skills.
- Must have passion and share the same emotional attachment to the brand and its direction as other executives.
- Attention to details is critical and essential in all work.
- Must be client focused and clearly understand our mission, vision and core values and be able to demonstrate this concisely.
- Must be solely working with Jungle Creative and be available when required to carry out tasks. (We will set up a daily meeting for the first two weeks on Skype, so we can meet and get to know each other and to run through full training on details of the role).
