An excellent opportunity has arisen for an experienced Personal Assistant to join our Australian team.
Your duties will be varied and will include (but not limited to):
• General secretarial and administrative support, including diary and e-mail management for the Director of the company (as well as being a vital part of the firm’s Administration Team)
• Managing the Director's business and personal diaries and keeping them organised and up to date.
• Provision of high level support to the Director as directed, which also includes liaising with stakeholders, management team and clients
• Responsible for scheduling work/requirements from
• Assisting with company enquiries and forwarding to the appropriate stakeholder.
• Work, instruct and manage Upwork contractors on particular graphic design/IT small projects and testing our IT platforms (as needed)
• Maintaining client records and providing document management support including preparation of proposals, etc.
• Record-keeping (including maintaining various registers) and filing on a needs basis
• Preparing expense and time-sheet reports (as directed on an as needs basis)
• Booking and coordinating meetings
• Organising travel arrangements
• Various other adhoc duties as required by the firm
To be successful for this role you will be/have:
• An experienced Personal Assistant (at least two (2) years)
• Highly professional and organised individual with the ability to prioritise and coordinate a number of tasks
• Confident, professional team player who is proactive and flexible with excellent attention to detail and possesses excellent time management and organisational skills
• Outstanding communication skills, the ability to build rapport with clients and juggle multiple tasks whilst working to tight time constraints
• Previous experience within a Professional Services Firm is advantageous
• Intermediate to advanced computer skills in MS Office coupled with an accurate typing speed
• Able to work unsupervised
• Ability and willingness to learn new programs / software
Experience working with an Australian or US company a must.
