OVERVIEW
Trustmarq Global Services is a cyber security consultancy with offices across the US east coast. As our clients' trusted advisors, we constantly seek out business-minded technology professionals who can carry deep technical conversations and understand our clients’ business model. A successful person in this role is enthusiastic, self-motivated, and carries a consulting mindset.
Our team is searching for a detailed oriented and highly organized professional who is qualified and experienced to perform back-office administration tasks. An enthusiastic and personable individual would be able to grow with the firm, and help us with promoting our business, helping the client-facing consulting team with administrative tasks so they can focus on engagement delivery.
Recent or upcoming college graduates are encouraged to apply. On-the-job training is available, and starting out as a part time employee is also possible for the right person.
JOB DUTIES
Accounting:
1. Accounts Receivables (AR):
a. Monitor and facilitate compliance with time sheets, expense reports, invoicing, and client billing.
b. Manage Quickbooks Online (QBO) account; data synchronized with time and expense reporting systems
c. Manage any payment escalations or discrepancies with internal and external teams
d. Ensure proper documentation for compliance and audit requirements for all functions of A/R job function.
e. Monitor & report on project burn rates; alert management and project teams as thresholds fall below minimum.
f. Manage Client profiles.
g. Maintain Company products and services portfolio.
2. Accounts Payables (AP):
a. Receive and input vendor invoices into the system
b. Pays vendor and third party bills as needed.
c. Manage any payment escalations or discrepancies with internal and external teams
d. Ensure proper documentation for compliance and audit requirements for all functions of A/R job function.
e. Send weekly reminders to employees, contractors, vendors, suppliers, and clients as needed, using
f. Vendor Management System (VMS) Platform Support (checking for requisition posts, recommend matching candidates to recruitment team, submit candidates, initiate background checks
g. Employee/Contractor credit card transaction validation and entry into accounting system.
h. Manage Partner, Distributor, Employee, and Subcontractor profiles.
3. Accounting Reconciliations:
a. Perform monthly AR and AP reconciliations, reporting and management presentation
b. Reconcile monthly credit, debit and other transactions and import into the accounting system
c. Facilitate platform migration efforts from one platform to another as needed
d. Respond to internal and external audit requests and provide management-approved data as needed.
Backoffice Administration:
4. General Tasks:
a. Handle ordering of office supplies and equipment
b. Coordinate industry and client conference and meeting events
c. Receive, compile, and scan-in mail by priority, urgency, etc. and brings urgent matters to management’s attention
d. Help with light Information Technology related tasks as needed
e. Contribute to team effort by accomplishing related results as needed
f. Document and reports on all tasks performed on a weekly basis
g. Send weekly reminders to employees, contractors, vendors, suppliers, and clients as needed, using
IT, and Desktop Support:
a. Manage corporate instance of Office365 (user account management,
b. Perform end user computer support (system maintenance, patching and upgrades, operating system refresh, new employee computer preparation, incident response,
c. Enterprise data store data backups, and recovery (online stores, corporate NAS instances)
d. Provide user mobile phone support
SKILLS REQUIREMENTS
General:
1. Good understanding of Internet market research and ability to find contact information for current and prospective customers.
2. Experience working with a cloud based Customer Relationship Management (CRM) system and understanding of CRM principles.
3. Excellent verbal and written communications skills.
4. Good listening skills
5. Excellent documentation skills, and attention to detail when executing given tasks.
6. Comfortable working with Windows and/or Mac OSX operating system.
Accounting
7. Required: Hands on experience working with accounting and bookkeeping platforms such as Quickbooks Online (QBO) and/or other online accounting platforms. At least three (3) years of hands on experience is desired.
8. Required: Good understanding of accounting and finance principles. CPA and/or other accounting degrees are preferred.
9. Required: Root cause analysis and troubleshooting skills as it relates to accounting issues and discrepancies. At least one (1) year required.
10. Required: Accounting reporting experience specifically invoicing and billing (AR and AP) functions. Three (3) years of experience desired.
11. Quarter-end and Year-end expense reconciliations and reporting
12. Identify reconciliation discrepancies, and
13. Desired: Accounting audit preparation and response experience

Desired Qualifications
1. CPA certification.
2. Understanding of accounting and finance processes in a consulting services business.
3. 3+ years of working experience with QBO.
4. Process improvement skills and visual process mapping and documentations

OTHER INFORMATION
Most of the work must be performed onsite in with some remote work allowed in due time, based on individual performance and demonstration of professional responsibility. Flexible working hours are available. For candidates not in the Atlanta metro area, certain exceptions may be made based on past qualifications and professional references.
Qualified candidates must pass a thorough background check including criminal, credit, education, work history, and other relevant checks.
Upon completion of the probation period, healthcare and other allowances are available for qualifying positions.
