JOB OVERVIEW

Seeking a proactive, organized Virtual Assistant to support a busy Realtor in Minnesota. The VA will manage all marketing, lead generation, transaction coordination support, client communications, and basic accounting. Candidate must be reliable, detail-oriented, and experienced with real estate marketing and workflows, and growing social media account and producing a strong presence on Google.

Key Responsibilities
Marketing & Social Media

Create and schedule regular social media content (Facebook, Google, Instagram, LinkedIn, TikTok as applicable).
Respond to comments and direct messages professionally and promptly; engage with followers.
Boost/allocate ad spend on social platforms and monitor performance.
Generate leads via social media campaigns and follow-up messaging.
Advise on and create high-performing ad copy, creatives, and targeting.
Manage and optimize Google Business Profile (Google page), including posts, reviews, and Q&A.
Direct Mail & Local Farming

Design and produce farming postcards and neighborhood mailers targeted to selected ZIP codes/areas.
Coordinate printing, list selection, and mailing (including USPS Every Door Direct Mail or targeted lists).
Track response rates and maintain mailing schedule for targeted neighborhoods.
Client Communications & Content

Create and distribute a monthly email blog/newsletter to clients and leads (content creation, formatting, send using an email platform).
Manage the client database (CRM), segmenting contacts and automating follow-ups as needed.
Handle lead intake, initial qualification, and timely follow-up.
Transaction Support & Operations

Create and maintain task lists for each transaction (from offer acceptance through closing); monitor progress and check items off as completed.
Coordinate with lenders, title, inspectors, and vendors to keep transactions on track.
Order and send closing gifts in a timely manner; manage gift inventory and vendor relationships.
Events & Client Relations

Plan and coordinate four client appreciation events throughout the year (budgeting, vendor coordination, invitations, RSVPs, onsite logistics or vendor-managed execution).
Maintain client engagement strategies and execute client retention campaigns.
Leads & Follow-up

Research and source leads from multiple channels; perform outreach and follow-up.
Record lead activity and outcomes in CRM; escalate qualified leads to Realtor.
Accounting & Expense Tracking

Track daily spending and maintain simple accounting records for marketing, events, and operational expenses.
Reconcile receipts and prepare periodic expense reports for reimbursement or bookkeeping.
Required Skills & Qualifications

2+ years experience supporting a real estate agent or in a real estate-focused VA role preferred.
Strong social media management and paid advertising experience (Facebook Ads Manager, Instagram, TikTok preferred).
Experience managing Google Business Profile.
Proficient with email marketing platforms (Mailchimp, Constant Contact, ActiveCampaign, or similar).
Familiarity with CRM systems (MLS, Dotloop, RealtyJuggler, Follow Up Boss, LionDesk, or similar).
Strong organizational skills and experience with transaction checklists and task management tools (Trello, Asana, Monday, Google Sheets).
Excellent written and verbal communication.
Basic bookkeeping skills; experience with spreadsheets for expense tracking preferred.
Event planning experience and vendor coordination skills.
Ability to manage multiple priorities and meet deadlines independently.
Professionalism and excellent client-facing demeanor.
Preferred

Candidate will research and become Knowledgeable of the Rochester, MN real estate market and local neighborhoods.
Experience designing print materials and coordinating direct mail campaigns.
Familiarity with real estate compliance and marketing best practices.
Working Hours & Logistics

Remote position; flexible hours with responsiveness during business hours (Central Time).
Must have reliable internet, a professional home office setup, and smartphone access for social interactions and lead follow-up.
