*About the role*
You will work directly alongside our Program Manager as the second official on our NASA SEWP VI contract. Your primary focus is the operational side of the contract — keeping our IT product catalog current, processing quotes and orders through the NASA portal, supporting federal agency customers, and keeping our public-facing SEWP website accurate.
You are also the designated backup for everything the Program Manager does. If the PM is unavailable for any reason, you step in fully. NASA must always have a reachable, knowledgeable point of contact — that responsibility is shared equally between both of you.
What you will do:
Catalog management (primary focus) — Submit Technology Refreshment (TR) requests through NASA's CHOP portal to add, update, and remove products from our catalog. Assign UNSPSC product codes. Monitor all pricing to ensure it stays at or below our GSA Schedule prices. Track product End of Life and remove discontinued items.
Quote processing — Monitor the NASA SEWP Quote Request Tool daily for incoming RFQs from federal agencies. Build accurate quotes in the CHOP portal following NASA's strict quoting rules. Submit on time. Track all open quotes.
Order tracking & fulfillment support — Track all active orders through the portal. Monitor delivery timelines (standard: 30 days). Notify the Contracting Officer and NASA PMO within 2 business days if any delivery will be delayed.
Customer support — Respond to federal agency customer inquiries professionally and promptly. Provide product specifications, configuration guidance, and ordering support as requested.
Website & ordering guide maintenance — Keep our SEWP-specific website pages accurate. Update the electronic ordering guide within 10 business days following any contract modification.
Full PM backup — When the Program Manager is unavailable, you handle everything: NASA communications, compliance actions, financial reports, and any time-sensitive deadlines. You must know the contract well enough to step in at any
Reporting support — Assist the PM in preparing quarterly and annual reports. Help compile Excel-based fee reports, order tracking data, and AbilityOne subcontracting records.
Process documentation — As we build out internal SOPs in the early months, you will help document how we do things so processes are repeatable and not dependent on any one person.
