About Us
We place donation bins at libraries, churches, schools, town recycling centers, and businesses across the Northeast, then route a fleet of trucks to collect books and media on a recurring schedule. We also handle one-off home pickups and large-volume cleanouts. Reliable collection and responsive communication with our hosts and donors are the backbone of the business.
We run our routing and dispatch through WorkWave Route Manager and coordinate a small team of drivers across multiple trucks every day.
The Role
We're looking for a sharp, organized Executive Assistant / Virtual Assistant to be the communication and coordination hub of our daily operations. You'll be the first point of contact for customer messages and support
What You'll Do
Customer & Host Support
Monitor and respond to support
Answer common questions, schedule pickups, handle rescheduling, and resolve issues or escalate when needed.
Keep every conversation warm, clear, and on-brand, you're often the only "voice" of the company a customer hears.
Dispatch & Driver Coordination
Work daily in WorkWave Route Manager to monitor routes, stops, and driver progress.
Communicate with drivers throughout the day, confirm they have their stop list, help them stay on schedule, relay address/access/hours details, and troubleshoot in real time (traffic, closed locations, missed stops, last-minute additions).
Adjust and reorder stops as situations change, and make sure overdue or time-sensitive pickups don't fall through the cracks.
Flag problems early and keep operations informed.
General Coordination
Track open requests and follow-ups so nothing gets lost.
Help keep records and route information accurate and up to date.
Pitch in on administrative and operational tasks as the day demands.
What You Must Have
Perfect, fluent written and spoken English — clear, polished, professional communication is non-negotiable for this role.
Ability to work odd / flexible hours when needed — routes run early and situations come up; you're comfortable being reachable outside a standard 9–5 when the day requires it.
Strong organizational skills and the ability to juggle multiple conversations and moving pieces at once.
Calm, solution-oriented attitude under pressure — when a driver is running behind or a customer is frustrated, you keep things steady.
Comfortable learning and working in web-based software (we'll train you on WorkWave and our internal tools).
Reliable high-speed internet, a quiet workspace, and a dependable computer and phone.
Nice to Have
Prior experience in dispatch, logistics, route coordination, or fleet/driver management.
Customer service or support-desk background.
Experience with WorkWave, CRMs, or similar scheduling/routing platforms.
