JOB OVERVIEW

I’m looking for a highly organized, detail-oriented, and proactive Executive Assistant who has real, hands-on experience using GoHighLevel (GHL) to help manage day-to-day operations in a growing home service business.

This is not a beginner role. I need someone who has actually used GoHighLevel in a real business setting — not just watched tutorials. You should be confident inside the CRM, comfortable handling customer communication, and able to keep operations organized without constant supervision.

This role is ideal for someone who enjoys structure, takes ownership of tasks, and can help keep both customers and internal operations running smoothly behind the scenes.

This is a long-term opportunity for someone who is reliable, communicates well, and wants to grow with a business that is scaling.



What You’ll Be Doing:

* Handle inbound and outbound customer communication via phone, email, and SMS using GoHighLevel
* Manage pipelines, leads, opportunities, and follow-ups inside GHL
* Build, update, and maintain workflows, automations, and pipelines (if you have experience)
* Manage scheduling, appointment setting, and calendar coordination
* Support dispatch and technician coordination when needed
* Keep CRM records clean, accurate, and updated (notes, tags, statuses, job details)
* Handle estimates, invoices, reminders, and customer follow-ups
* Assist with daily reporting and tracking inside GoHighLevel dashboards
* Help organize internal processes and improve workflow efficiency
* Monitor tasks and make sure nothing falls through the cracks
* Support basic admin work such as data entry, file management, and documentation
* Use AI tools (like ChatGPT) to help improve speed and efficiency


What I’m Looking For:

* Strong administrative and customer service background
* **Proven, real experience using GoHighLevel (must-have)**
* Previous experience as a Virtual Assistant or supporting a business owner/operations team
* Excellent written and verbal English communication
* Strong organizational and time management skills
* Ability to multitask and stay calm in a fast-paced environment
* Problem-solver who can work independently without being micromanaged
* High attention to detail and strong follow-through
* Tech-savvy and quick to learn new systems
* Professional, reliable, and takes full ownership of tasks


Required Experience:

* GoHighLevel (REAL daily use — CRM, pipelines, workflows, automations, messaging, etc.)
* Administrative support
* Customer service (phone, email, SMS)
* Calendar and appointment management
* CRM management and data entry
* Reporting and documentation


Preferred Experience:

* Home service / trades / service-based business experience
* Dispatch or technician coordination
* Experience building or managing GHL automations/workflows
* Team coordination or supervisory experience
* AI tools (ChatGPT, Claude, etc.)
* Basic Canva / social media support
