The Role

As our Notion + GHL & Automation Specialist, you'll be responsible for designing, building, and continuously improving the systems that power Moon Media.

You'll work directly with the Founder and Head of Operations & Client Success to develop scalable solutions using Notion, GoHighLevel (GHL), Zapier, AI tools, and other no-code platforms.

This is not an IT support role or a traditional virtual assistant position.

Instead, you'll serve as our internal systems expert, helping create the infrastructure that allows the business to operate efficiently and scale without unnecessary complexity.

Responsibilities

• Build and maintain advanced Notion workspaces, databases, dashboards, and templates.
• Design and implement automations using Zapier and similar no-code tools.
• Build and optimize workflows inside GoHighLevel (GHL).
• Connect software platforms to eliminate repetitive manual work.
• Analyze existing processes and recommend smarter system solutions.
• Research and implement new AI and automation tools that improve efficiency.
• Troubleshoot and maintain existing systems and integrations.
• Create documentation and SOPs for new systems and automations.
• Work directly with leadership to turn ideas into scalable operational solutions.
• Continuously improve internal workflows as the company grows.

Requirements (Non-Negotiable):
• Advanced experience with Notion, including databases, relations, rollups, formulas, templates, and workspace architecture.
• Experience building automations using Zapier or similar platforms (Make, n8n, etc.).
• Strong systems thinking and process optimization skills.
• Ability to design scalable workflows instead of temporary fixes.
• Strong troubleshooting and problem-solving abilities.
• Comfortable learning new software and technologies quickly.
• Excellent organization and documentation skills.
• Self-starter who can work independently and take ownership of projects.

• Experience with Claude.
• Experience working with APIs and webhooks.
• Familiarity with AI workflow tools and agents.
• Experience building systems for agencies or fast-growing startups.
