## About the Role
We are seeking a highly organized, detail-oriented, and experienced Real Estate Executive Assistant to support a growing real estate investment and property management company.
The ideal candidate will have extensive experience with long-term residential rentals, commercial real estate, lease administration, tenant coordination, property management support, and executive-level organization.
This position will support ownership with property acquisition projects, lease management, tenant communication, property operations, due diligence, document organization, and administrative support.
## Responsibilities
### Property Management Support
* Manage tenant and property records
* Track lease expirations, renewals, and critical deadlines
* Coordinate maintenance requests and vendor communication
* Maintain occupancy and vacancy reports
* Assist with rent tracking and tenant correspondence
### Commercial Real Estate Support
* Organize commercial lease agreements and amendments
* Track tenant improvement projects and lease obligations
* Maintain property financial and operational records
* Assist with acquisition due diligence and document collection
* Coordinate communication with brokers, lenders, attorneys, and vendors
### Acquisition & Investment Support
* Research potential real estate opportunities
* Organize property financials and due diligence documents
* Maintain acquisition tracking spreadsheets
* Assist with underwriting and property analysis support
* Track important deadlines throughout transactions
### Executive Assistant Duties
* Manage calendars and follow-up tasks
* Organize
* Create reports and spreadsheets
* Maintain project trackers and task lists
* Assist with special projects and business operations
### Administrative Organization
* Create and maintain filing systems
* Organize contracts, leases, insurance documents, and property records
* Ensure all records are accurate and easily accessible
* Develop and maintain operational procedures
## Qualifications
### Required
* Excellent written and verbal English communication skills
* Previous experience supporting real estate investors, brokers, developers, or property management companies
* Experience with long-term residential rentals
* Experience with commercial real estate
* Strong organizational skills and attention to detail
* Advanced Microsoft Excel and Google Sheets skills
* Ability to manage multiple projects simultaneously
* Professional and dependable work ethic
### Preferred
* Property management experience
* Commercial leasing experience
* Real estate transaction coordination experience
* Experience reviewing leases and due diligence documents
* Experience working with CRMs and property management software
* Experience with bookkeeping or financial reporting
