Role Overview
We are seeking an experienced and highly organised Virtual Assistant with a strong background in Airbnb / Short-Term Rental operations to manage day-to-day hospitality tasks across our properties.
This role also includes administrative support across our wider group of companies, requiring someone who is detail-oriented, proactive, and able to manage multiple responsibilities efficiently.
This is not an entry-level role. We are looking for someone who understands the full lifecycle of guest bookings and property operations.

Core Responsibilities
1. Guest Communication & Hospitality Management
• Respond to guest enquiries across Airbnb, ---------- , Agoda, HomeToGo and direct booking platforms
• Handle pre-booking questions and convert enquiries into confirmed bookings
• Send professional and timely check-in instructions
• Manage guest communication throughout the stay
• Handle complaints and resolve issues promptly and professionally
• Maintain high guest satisfaction and review ratings

2. Booking & Reservation Management
• Manage calendars across all booking platforms
• Prevent double bookings and ensure availability accuracy
• Monitor upcoming check-ins and check-outs
• Process booking modifications and cancellations
• Handle long-term stays, contractor bookings, and corporate enquiries

3. Property Operations Coordination
• Schedule and coordinate cleaners for all turnovers
• Ensure properties are ready before guest arrival
• Communicate with maintenance for repairs and urgent issues
• Track and follow up on outstanding operational tasks
• Report recurring issues or operational inefficiencies

4. Listing & Channel Management
• Update and optimise listings across all platforms
• Upload and manage property photos and descriptions
• Ensure consistency across Airbnb, ---------- , Agoda, HomeToGo and direct platforms
• Monitor listing performance and suggest improvements

5. Review & Reputation Management
• Monitor guest reviews and feedback
• Respond professionally to guest reviews
• Escalate serious complaints when necessary
• Identify trends and recommend improvements

6. Pricing & Revenue Support
• Assist with pricing updates using dynamic pricing tools
• Monitor occupancy levels and booking trends
• Highlight low-performing dates or gaps
• Support revenue optimisation strategies

7. Systems & Automation Management
• Work within channel managers and booking systems
• Ensure automated messaging systems are functioning correctly
• Maintain organised digital records
• Suggest operational improvements and efficiencies

Business Lead Generation
Responsibilities shall include, but are not limited to:
• Researching potential corporate and long-stay accommodation clients.
• Creating and maintaining a LinkedIn profile connected to COJAT Homes and conducting outreach to prospective clients.
• Building databases of construction companies, recruitment agencies, relocation companies, insurance accommodation providers, housing providers, local authorities, and other organisations that may require accommodation.
• Identifying decision-makers and obtaining contact details.
• Supporting LinkedIn outreach and engagement.
• Assisting with email marketing campaigns.
• Maintaining and updating our CRM (Excel Sheets and other systems) and lead tracking systems.
• Providing weekly reports on leads generated, outreach completed, responses received, and opportunities identified.

Requirements
• Proven experience in Airbnb or short-term rental management
• Excellent written and spoken English
• Strong attention to detail and organisation
• Ability to multitask across multiple properties and businesses
• Strong problem-solving skills
• Ability to work independently and take initiative
• Reliable internet connection

£200 per month
