Virtual Assistant / Hospitable PMS Specialist

We are seeking a highly experienced Virtual Assistant with deep expertise in Hospitable PMS to help manage, organize, and optimize our short term and mid term rental portfolio. This role is heavily focused on maximizing the capabilities of Hospitable to improve operations, increase revenue, and streamline guest communications.

Candidates without significant Hospitable experience will not be considered.

Core Responsibilities

• Manage and optimize properties within Hospitable PMS
• Configure and improve automated messaging workflows
• Build and optimize guest communication sequences
• Create and maintain tasks, triggers, and operational automations
• Troubleshoot channel integrations with Airbnb, VRBO, and Booking.com
• Audit listings and property settings for accuracy and performance
• Manage team permissions, workflows, and operational processes within Hospitable
• Improve turnover coordination and task management systems
• Identify opportunities to reduce manual work through automation
• Ensure all listings, house manuals, guidebooks, and guest instructions remain updated

Revenue & Listing Optimization

• Review listing performance and identify opportunities for increased revenue
• Optimize listing titles, descriptions, amenities, and property settings
• Improve photo order and presentation to increase conversion rates
• Coordinate listing updates across Airbnb, Booking.com, VRBO, and direct booking channels
• Make recommendations regarding pricing strategy and PriceLabs integrations

Preferred Additional Experience

• Monday.com administration and workflow development
• CRM setup and automation design
• AI tools and process automation
• Canva, Photoshop, Lightroom, or AI photo editing tools
• Corporate housing or mid term rental experience
• PriceLabs experience

Required Qualifications

• Advanced hands on experience using Hospitable PMS
• Experience managing Airbnb, VRBO, and Booking.com listings through Hospitable
• Strong understanding of short term and mid term rental operations
• Excellent written English and guest communication skills
• Proven experience creating efficient systems and operational workflows
• Ability to work independently and proactively identify improvements

Bonus Qualifications

• Former Hospitable employee or consultant
• Former Airbnb employee or Superhost Support experience
• Experience managing 20+ properties through Hospitable
• Experience building SOPs and operational playbooks
