We are seeking an experienced Scheduler/Care Coordinator who understands that scheduling is not just logistics, it’s about creating stability, building relationships, and delivering a platinum experience for both clients and caregivers.

Strategic Scheduling: Building Stability, Not Just Filling Shifts
This role goes beyond day-to-day scheduling. We are looking for someone who can think strategically about the schedule as a living system, one that must be proactively built, optimized, and maintained to support long-term success.

A strong Care Coordinator anticipates needs before they happen and builds schedules that:
• Extend days and weeks into the future, not just react to today’s needs
• Create consistency for clients and caregivers, strengthening relationships and outcomes
• Reduce last-minute call-offs, overtime, and fragmentation
• Align caregiver availability with client needs in a sustainable, scalable way
• Support growth by ensuring new clients can be staffed quickly and effectively

This requires a mindset of ownership, foresight, and continuous optimization, balancing the needs of clients, caregivers, and the business at all times.

What You’ll Do:
Scheduling & Operational Excellence
• Develop, manage, and strategically optimize caregiver schedules using WellSky or similar platforms
• Build and maintain forward-looking schedules that ensure stability, continuity, and scalability
• Match caregivers and clients based on skills, personality, preferences, and long-term compatibility
• Ensure continuity of care to foster trusted relationships
• Proactively manage scheduling to minimize overtime, reduce gaps, and improve consistency
• Maintain accurate, real-time scheduling data and documentation
• Continuously evaluate and refine scheduling practices to improve outcomes

Proactive Problem Solving
• Respond quickly and effectively to call-offs, schedule changes, and urgent staffing needs
• Anticipate scheduling challenges and resolve them before they impact care
• Identify patterns and trends (call-offs, availability, client needs) to prevent recurring issues
• Implement long-term solutions, not just quick fixes, to strengthen schedule performance

Caregiver Coordination & Support
• Serve as a trusted point of contact for caregivers, providing consistent communication and support
• Assist with onboarding by scheduling new caregivers and coordinating initial client assignments
• Conduct regular check-ins to support caregiver engagement and retention
• Help create a work environment where caregivers feel valued, supported, and set up for success

Client Experience & Communication
• Coordinate caregiver introductions to ensure a smooth, confident start of care
• Communicate proactively and professionally with clients and families
• Ensure reliability and consistency in scheduling to build trust and satisfaction
• Support a care experience that emphasizes connection, engagement, and quality of life, not just task completion

Qualifications
• Prior experience in home care scheduling (required)
• Experience using WellSky or similar scheduling software (preferred)
• Proven ability to manage complex schedules in a dynamic, high-volume environment
• Strong organizational and time management skills
• Excellent communication and relationship-building abilities
• Ability to work independently in a fully remote setting
