JOB OVERVIEW

Own the billing and collections for a US marketing agency. If you're an experienced AR or bookkeeping professional who likes being the person everyone trusts with the money, this is your seat.

ABOUT US

RoofIgnite is a US-focused marketing agency. We run Meta advertising for roofing contractors doing $2.5M or more per year, and we're part of the ---------- portfolio. We're a small, tight remote team, and almost all of our team is based in the Philippines, so you'll be in good company.

Our clients pay us a monthly retainer. The work is good and the clients stay. The one gap we have is on our own books: billing goes out late because nobody on the team has the time to run it on a strict schedule. That delay costs us real money every month. We want one reliable person to take full ownership of it so it never slips again.


THE ROLE IN ONE SENTENCE

You make sure every client is billed correctly and on time, you chase down anything that's late or failed, and you keep our books clean in QuickBooks.

This is a high-trust role. You will have direct control over the company's incoming cash, working closely with the two owners. We're looking for someone who treats accuracy and follow-through as a point of pride.


WHAT YOUR WEEK ACTUALLY LOOKS LIKE

Most of your time, the core of the job:

Billing in Stripe.
When the team tells you a client is ready to be charged, you create and send the charge in Stripe right away. This is manual and on purpose, we don't auto-bill, because we confirm with each client first. It's roughly 60 to 70 charges a month, usually $3,500 to $5,000 each, some larger. You own the billing calendar so nothing is ever late.

Collections.
When a payment fails or a client goes quiet, you run the follow-up. You'll work from a dedicated ---------- address and you'll email and call US clients directly. The escalation path is clear: friendly reminder, firm follow-up, phone call, flag to leadership if a service pause is needed, then final notice. Often a failed payment just needs someone to get the client on the phone and sort out a new card. That someone is you.

Recovering overdue accounts.
Some accounts go past due (we count that as a missed billing cycle, or 14 or more days late with no reply). You take those on and recover them.

Reporting.
You keep the owners updated on what's late, what's at risk, and what you've recovered, so we always know where our cash stands.

A smaller, steady part of the job:

QuickBooks bookkeeping.
You categorize expenses in QuickBooks. The rules and SOPs already exist and most transactions sort themselves automatically. You handle the ones that don't (roughly 500 to 600 a month) and send anything unusual for approval. You're running the system we built, not building it.

Data quality checks.
You audit two of our Google Sheets (a B2B sales tracker and a client check-in sheet) for missing or incomplete information, then track down the correct data and fill the gaps. Example: a lead marked "set and confirmed" while the "setter qualified" field is blank. You catch it and fix it.

Keeping an eye on the numbers.
You watch our key sales and marketing figures and flag anything that looks off.

Occasionally:

Helping onboard new hires in BambooHR, as needed. This is light and infrequent.


WHO WE'RE LOOKING FOR

This role only works for a specific kind of person, so please read honestly.

You need two strengths that don't always come together: real precision with numbers, and the confidence to chase money without backing down. Plenty of people have one. The careful ones can be too soft to push a late payer. The pushy ones miss the small errors that make an invoice wrong. We need both in the same person.

You should have:

- 2 or more years in accounts receivable, bookkeeping, or collections (more is welcome).
- Real, hands-on Stripe and QuickBooks experience. Not "I've seen it," but "I've run it."
- Fluent English, written and spoken. You'll represent us to US clients by email and phone, so both matter.
- A steady, organized approach to deadlines. You're the kind of person who keeps a list and works it.

Nice to have (not required): GoHighLevel, ClickUp, BambooHR, and strong Google Sheets skills.


HOURS AND PAY

Full-time, EST business hours. That's a night shift in the Philippines, roughly 9pm to 6am your time. Where you live doesn't matter as long as you work those hours reliably.

Base pay is $1,500 to $1,700 USD per month depending on experience. On top of that, you earn performance bonuses tied to things like overdue accounts recovered, on-time collection, and clean, accurate data. Do the job well and you earn more.

This is an immediate hire. We want to bring someone on as soon as we find the right fit.
