The Role
This is a dual-function role combining accounting firm administration with corporate secretarial responsibilities. You will be a key part of our operations team, keeping client work moving, compliance on track, and creating capacity for our principal to focus on high-value advisory and business development.

Key Responsibilities:

Accounting Firm Administration
• Follow up with clients on outstanding work, documents, and information requests
• Monitor and chase workflow progress using Xero Practice Manager (XPM)
• Identify and flag opportunities to offer additional services to existing clients
• Prepare and send standard client communications and correspondence
• Maintain accurate client records and assist with onboarding new clients
• Manage clients on the ATO Tax Agent Portal including adding and updating client details, monitoring ATO correspondence, and actioning requests
• Prepare and send client correspondence relating to ATO notices, assessments, and other third party communications including ASIC and state revenue offices
• Draft standard letters and emails to the ATO and other government bodies on behalf of clients under the direction of the principal accountant

Corporate Secretarial & Compliance
• Data entry and preparation of new entity structures (companies and trusts) using LightYear Docs
• Maintain company registers and manage annual review compliance
• Use BGL for company compliance management, lodging documents and manage registrations
• Track compliance calendars and proactively flag upcoming deadlines

What We Are Looking For
• Minimum 2 years experience working in an Australian accounting firm (offshore or onshore)
• Hands-on experience with ASIC lodgements, company incorporations, and corporate compliance
• Experience managing clients on the ATO Tax Agent Portal including adding clients, monitoring correspondence, and actioning requests
• Proficient in Xero and Xero Practice Manager (XPM)
• Experience with BGL for company compliance
• Exposure to LightYear Docs or similar document generation tools (desirable)
• Strong written English and professional client communication skills
• Highly organised, detail-oriented, and able to manage multiple tasks and deadlines
• A self-starter who can document processes and work independently with minimal supervision
