ABOUT THE ROLE

We're a private-equity-backed home care and post-acute care company, and our CEO needs a sharp, dependable right hand to keep him organized and one step ahead. He travels multi-state constantly and juggles a lot. Your job: make sure nothing slips, the calendar is always clean, the inbox never owns him, and every trip and follow-up lands.

If you live for clean calendars, anticipate problems before they hit your boss's desk, and quietly run the operating rhythm of a busy executive — you'll do the best work of your career here.

WHAT YOU'LL OWN:

- The CEO's calendar — schedule, confirm, defend focus time, resolve conflicts before they appear.
- Inbox triage — surface what matters in 24 hours or less, draft replies and follow-ups in his voice.
- Multi-state travel — book flights, hotels, ground transport; build clean, printable itineraries; reconcile expenses weekly.
- Follow-through tracking — every commitment made in a meeting gets logged and surfaced before it's late.
- Document prep and quick research — board memos, talking points, vendor comparisons, briefing docs.
- Confidential support — handling sensitive executive communications, internal memos, and PE-investor materials with absolute discretion.

WHAT WE'RE LOOKING FOR:

- Minimum 2 years directly supporting a C-suite executive, founder, or partner-level professional. Healthcare experience is a plus.
- Fluent written and spoken English — you'll draft on the CEO's behalf and speak with U.S. executives, board members, and vendors.
- Exceptional organization — you bring order, never lose a detail, and proactively flag what's at risk.
- Calm under multiple competing priorities. You don't drop balls; you re-prioritize and communicate.
- Proactive communicator — you flag issues early, bring options, and don't wait to be told.
- Comfortable with Microsoft 365 (Outlook, Teams, OneDrive, SharePoint) and modern travel/expense tools (Concur, TripIt, or similar).
- Comfortable signing an NDA and completing HIPAA training before day one.

WORK ENVIRONMENT (NON-NEGOTIABLE):

- Reliable high-speed internet (minimum 25 Mbps down / 10 Mbps up).
- Quiet, professional workspace.
- USB headset and a working webcam.
- A primary device on supported OS (Windows 11 or macOS).

SCHEDULE AND COMPENSATION:

- Eastern Time business hours, primary overlap 9 AM – 5 PM ET.
- Part-time to start (20–25 hours/week), with a defined path to full-time (40 hours/week) within 60–90 days based on performance and CEO travel cadence.
- $6–8 USD/hour, depending on experience.
- 10 paid days off per year.
- Annual performance review with a defined raise framework.

We use a paid trial. Top applicants will be invited to a paid trial task (10–15 hours, compensated) that mirrors the real work — a sample calendar/inbox triage and a travel-prep exercise. We make hires only after the trial.
