We are an established real estate business based in Washington State looking for a highly capable Real Estate Transaction Coordinator & General Admin to help support daily operations, transactions, listings, client communication, and systems.
This is a hands-on, all-around role for someone who understands real estate operations and can help bring more structure, consistency, and follow-through to the business. We need someone who can manage details, communicate professionally, and help keep both active deals and day-to-day tasks moving without constant supervision.
The right person will be experienced, tech-savvy, organized, and proactive. You should be comfortable supporting transactions, helping with listings, managing CRM follow-up, coordinating vendors, and helping build better workflows, SOPs, and internal systems over time.
What you’ll be doing:
• Supporting transactions from contract to close with accuracy and accountability
• Tracking deadlines, contingencies, documents, and key transaction milestones
• Coordinating with escrow, lenders, title, agents, vendors, and clients
• Maintaining organized transaction files and documentation
• Assisting with listing launches, MLS input, listing documents, and listing preparation
• Coordinating listing vendors such as photographers, cleaners, painters, contractors, and sign installers
• Organizing listing photos, property details, disclosures, and marketing assets
• Managing CRM records, notes, follow-ups, tags, and pipelines
• Supporting client follow-up, database touches, and review requests

• Supporting project management tools and task tracking systems
• Identifying gaps in current systems and suggesting practical ways to improve efficiency
• Assisting with basic marketing tasks, newsletters, CRM touches, and client communication
Who we are looking for:
• 3+ years of real estate administration or transaction coordination experience required
• Strong transaction coordination and listing coordination background preferred
• Experience supporting a solo agent or small real estate team preferred
• Familiarity with real estate CRMs and database organization
• Experience with project management tools, SOPs, workflows, or operations documentation preferred
• Strong written and spoken English communication skills
• Comfortable communicating with clients, vendors, agents, escrow, lenders, and contractors
• Highly organized, detail-oriented, and proactive
• Tech-savvy and comfortable learning or improving systems
• Able to work independently, make good judgment calls, and complete tasks without micromanagement
• Experience with Canva, newsletters, social media, or light marketing support is a plus
This is a full-time remote role. We are only considering candidates who do not have any other active jobs, freelance clients, or agency commitments. All assigned work must be completed by you directly and cannot be outsourced, delegated, or shared with another person.
Pay: $9 to $11/hour depending on experience
