Executive Personal Assistant / Accountant


We are a rapidly growing group of trade service businesses operating throughout Western Australia, specialising in roofing, plumbing, electrical and property maintenance services. We are seeking a highly organised and proactive Executive Personal Assistant / Bookkeeper to work directly with the Director and become a key part of our growing team.

This is an opportunity to become the Director's right-hand person, helping manage day-to-day operations, financial administration, scheduling and executive support across multiple businesses.

About the Role

The successful candidate will be responsible for managing the Director's workload, maintaining financial records, coordinating business operations and ensuring tasks are completed efficiently and on time.

You will be trusted to take ownership, solve problems independently and help create structure within a fast-paced business environment.

Key Responsibilities
Executive & Personal Assistance
Manage the Director's calendar, appointments and meetings
Organise travel, accommodation and schedules
Manage and prioritise emails and correspondence
Follow up action items and outstanding tasks
Liaise with clients, suppliers and staff on behalf of the Director
Prepare reports, spreadsheets and business documentation
Assist with personal administration and executive support tasks
Coordinate projects and ensure deadlines are met
Bookkeeping & Finance
Daily use of Xero for bookkeeping and financial administration
Bank reconciliations
Accounts payable and accounts receivable
Follow up overdue invoices and outstanding accounts
Process supplier invoices and payments
Payroll administration and record keeping
Assist with BAS preparation and reporting
Maintain accurate financial records across multiple entities
Assist with financial reporting and cashflow tracking
Business Administration
CRM and database management
Customer and supplier communication
Data entry and document management
Process improvement and workflow implementation
General administrative support across multiple businesses
Essential Requirements
Minimum 3 years' experience in a bookkeeping, accounting or executive assistant role
Advanced proficiency in Xero (mandatory)
Strong bookkeeping and reconciliation experience
Excellent written and verbal English communication skills
Exceptional organisational and time management skills
High attention to detail and accuracy
Ability to work independently with minimal supervision
Strong problem-solving ability and initiative
Proficient with Microsoft Office, Google Workspace and online business systems
Highly Desirable
Experience supporting business owners, CEOs or Directors
Australian bookkeeping experience
Understanding of Australian payroll, BAS and GST requirements
Experience working with Australian businesses
Experience within construction, trades or service-based industries
Experience with Simpro or similar job management software
Accounting or bookkeeping qualifications
