Job Description
A&S Construction of Louisville, Inc. is a growing residential remodeling company in Kentucky, USA. We are looking for a bright, organized, detail-oriented Administrative Assistant to help manage company schedules, appointments, agendas, and CRM appointment updates.
This position plays an important role in keeping our team organized and ensuring that all schedules, calendars, and appointment systems are accurate and up to date. The main objective of this role is to make sure that Google Calendars, CRM appointments, customer appointments, and internal team schedules all coi ---------- with each other.
This is a part-time position requiring 4 hours per day, 20 hours per week. The ideal candidate will be consistent, punctual, and able to stay focused during their scheduled work hours.
Main Objective
The main objective of this position is to ensure that all scheduling systems coi ---------- with each other. This includes making sure Google Calendar, CRM appointments, internal agendas, and team schedules are accurate, organized, and updated in real time.
This person will help prevent confusion by making sure appointment information is entered correctly, updated quickly, and communicated clearly.

Core Responsibilities
• Manage and maintain company Google Calendars
• Review calendars daily for accuracy, conflicts, missing details, or duplicate appointments
• Consolidate appointments across multiple calendars and systems
• Manage appointment times, booking details, and schedule changes
• Update CRM appointments and ensure all appointment information is accurate
• Confirm that CRM appointments match Google Calendar events
• Assist with agenda management for sales, operations, and internal meetings
• Help prepare daily and weekly schedules for the appropriate tea ---------- mbers
• Communicate schedule updates to the correct tea ---------- mbers
• Track appointment changes, cancellations, reschedules, and new bookings
• Help ensure customer appointments are properly documented and communicated
• Assist with appointment confirmation texts, emails, or internal reminders when needed
• Monitor schedules to make sure everyone’s calendar is up to date
• Support the office team with administrative tasks as needed
• Help create and maintain organized systems for scheduling, calendar management, and appointment tracking

Additional Responsibilities
• Assist with basic CRM data entry and appointment updates
• Help organize internal notes related to appointments and meetings
• Assist with weekly schedule preparation
• Communicate scheduling issues before they become problems
• Follow documented processes and help improve them when needed
• Assist with email communication related to scheduling and appointment coordination
• Help the team stay organized by maintaining accurate records and consistent updates
