Resource Manager / Recruitment Specialist (Remote, Part-Time)

Role Snapshot
We're a labour hire and workforce solutions business operating across WA, NSW, and VIC — placing skilled workers across landscaping, forestry, construction, mining, horticulture, and civil industries. This role sits at the operational core of what we do: keeping payroll accurate, compliance tight, and resourcing moving. We're looking for a replacement hire to step into an established role with clear systems, a functioning team, and high standards — and raise the bar.

Hours & Setup

Type: Part-time, remote
Schedule: Monday to Friday (exact hours to be confirmed at onboarding)
Time zone: Aligned to Western Australian business hours (AWST)
Location: Work from home
Environment: Virtual online office — live video connection maintained throughout the working day is a part of this role
Seasonal flex: Hours increase during peak planting/forestry seasons — overtime applies


What You'll Be Doing
Payroll Data Entry & Compliance (Daily Priority)

Cross-check timesheets signed off by site supervisors against the master sheet each morning — verify hours and units are correct before they reach payroll
Cross-reference the scheduling software as a third data point to catch discrepancies not visible in the first two sources
Log into Deputy twice daily to verify employee check-in and check-out times; resolve any attendance discrepancies
Input approved timesheet data (via Tray Sheets) into Xero for bi-weekly payroll processing
Mark tasks as complete in the tracking system to maintain clear status visibility at all times

Scheduling & Resource Coordination

Liaise daily with project coordinators and site supervisors to understand upcoming resourcing needs
Finalise and publish next-day schedules by 4:30 PM each day, following the 3:30 PM supervisor check-in call
Remain available throughout the day to respond to resource shortages, equipment needs, or last-minute scheduling changes
Arrange accommodation for field staff on remote projects within budget parameters and company standards

Recruitment & HR Coordination

Advertise vacancies for casual and short-term positions across relevant job boards
Screen applicants, conduct reference checks, verify qualifications, and manage candidate pipelines to align with project timelines
Coordinate onboarding for new hires: induction scheduling, compliance training, and ensuring all site access requirements are met before workers arrive
Conduct VEVO (visa eligibility verification) checks on all new hires and repeat every three months — maintain compliance records accurately in ----------
Handle employee queries and escalate disputes where appropriate
Conduct performance reviews every four months and keep employee records up to date

Reporting & Administration

Participate in weekly Management Meetings (Fridays at 2:30 PM AWST)
Prepare monthly staffing and resource allocation reports for the management team
Collect and upload site-specific Safety Reports to ---------- by the 25th of each month
Maintain and update employee data in ---------- as the workforce changes
Send daily start-of-day priorities and an end-of-day task summary via ConnectTeam

Daily Communication & Online Office

Participate in the virtual online office — video connection maintained throughout the working day
Communicate availability transparently: log your schedule in the company system and keep it current without being prompted; flexible hours are fine, invisible hours are not
Raise questions in real time rather than allowing uncertainty to produce errors downstream
Use Timely (AI time tracker) to log and summarise daily activity accurately


What We're Looking For
Experience

Previous experience in HR coordination, resource management, or recruitment administration — essential
Demonstrable experience with payroll data entry, preferably using Deputy and/or Xero
Experience recruiting for high-volume, casual workforces is a significant advantage
Background in environmental, agricultural, construction, or field operations industries preferred — strong fast learners considered
Bookkeeping or accounting background is a strong plus: this role demands genuine confidence with numbers, pattern recognition across data sets, and zero tolerance for payroll errors

Technical Skills

Deputy — primary scheduling and attendance platform; mandatory proficiency
Xero — payroll input and financial management; strong proficiency required

Comfortable in a virtual online office — active participant, not a reluctant observer
Confident working independently through a task list and escalating when something doesn't look right
