Twin Oaks Real Estate is looking for a highly organized, detail-oriented, and proactive Sales Department Assistant to support our Sales Manager and help keep our sales department running smoothly, consistently, and efficiently.
This role is ideal for someone who loves organization, structure, reporting, communication, and keeping moving pieces on track. You will work closely with the Sales Manager and sales staff on daily tasks, Zillow Preferred program support, reporting, meeting coordination, scheduling, spreadsheets, presentations, and internal communication.
This is not a passive assistant role. We are looking for someone who can balance recurring daily responsibilities while also helping with special projects, meetings, reports, and operational tasks as needed.
We need someone who communicates clearly, takes initiative, follows through, and can stay organized in a fast-paced sales environment.
Responsibilities
* Supporting the Sales Manager with daily administrative and organizational tasks
* Assisting with the management of the Zillow Preferred program
* Tracking reports, agent activity, and sales department metrics
* Building and updating Google Sheets, trackers, and reports
* Assisting with meeting management, scheduling, agendas, notes, and follow-up tasks
* Helping create slides and presentation materials for sales meetings and trainings
* Communicating with agents and staff via phone, Slack,
* Helping organize sales department projects, deadlines, and follow-up items
* Assisting with operational tasks related to agent programs, reporting, and accountability
* Keeping systems, trackers, and documents updated and accurate
* Helping the Sales Manager stay organized and focused on priority tasks
Requirements
* Previous real estate experience required
* Strong experience with Google Workspace, including Google Sheets, Docs, Slides, Drive, and Gmail
* Excellent written and verbal English communication skills
* Strong Zoom/video communication confidence
* Highly organized and detail-oriented
* Ability to manage multiple tasks, deadlines, and priorities
* Resourceful problem solver
* Self-motivated and able to work independently
* Strong sense of urgency and follow-through
* Comfortable communicating with agents and staff professionally
* Able to follow systems while also identifying ways to improve them
* Comfortable working in a fast-paced sales environment
Preferred Qualifications
* California real estate experience
* Experience with Zillow platforms, Follow Up Boss, Slack, Asana
* Experience creating reports, trackers, slides, or training materials
* Experience supporting a sales manager, team leader, or operations leader
Additional Information
AI tools are normal and encouraged in this role, but candidates should also be able to think critically, stay organized, and complete tasks independently without relying on AI.
This role is best for someone who enjoys structure, organization, reporting, communication, and helping a busy sales department stay on track.
The right person will be a strong assistant to the Sales Manager, a reliable support partner for the sales staff, and someone who takes pride in keeping tasks, systems, and communication organized.
