The Role
Be the Second Brain to a Senior Executive at a Fast-Growing Creator Agency | $1,300+/month | 100% Remote, Philippines.
The COO of this agency is at capacity. He's currently doing all of it himself -- updating trackers, chasing people, drafting documents, building workflows, managing calendar conflicts, thinking through hard conversations alone. Every hour spent on that is an hour not spent on the work only a COO can do. This is the role that fixes that.

The right person for this seat doesn't wait to be told the next step. They take the brief and run. They see the work that needs doing before being asked. And they're the kind of operator a COO can hand something off to and consider it handled.
What You'll Own
- Project and tracker management. Keep all the COO's project trackers and statuses current in Airtable. Maintain visibility on what's moving, what's stuck, and what's due. Nothing falls through.
- Follow-ups and chasing. Own the follow-up loop end-to-end. Chase outstanding items, send the reminders, surface blockers to the COO before they become problems.
- Document drafting. Draft documents the COO would otherwise write himself; to a standard he can route straight for approval without rewriting.
- Workflow builds in ProcessStreet. Build straightforward, repeatable workflows so the COO doesn't have to. Examples: one-off task workflows, leave handoff workflows where leave isn't approved until a handoff plan is filled out and routed.
- Process builds for capacity-constrained department heads. When a department head is buried, build their process for them under the COO's direction. Example: standing up a hiring or onboarding workflow when the owner is buried in interviews.
- Calendar and scheduling. Manage the COO's calendar, resolve meeting overlaps, find times that work across multiple people's schedules.
- Thinking partner. Act as a sounding board on draining or tricky calls. Offer a different angle on how to approach a hard conversation. Handle the legwork of putting things into Claude for the COO.
What You Bring:
Experience (non-negotiable)
- Prior experience as an EA to a senior executive. We want someone who already understands the cadence of supporting an exec at this level; not someone learning it for the first time.
- Comfortable operating at pace across many small parallel tasks. This role is high-volume throughput, not deep specialist work.
Skills (must-have)
- Project and tracker management, hands-on with Airtable
- Strong follow-up discipline; you don't need to be told twice
- Document drafting to a standard a senior executive can route without edits
- ProcessStreet workflow building from a brief
- Calendar management across multiple people's schedules
- Proficient in Claude and AI tools as part of your daily workflow
- Native English

Location & Hours
100% remote, based in the Philippines.
Full-time (8 hours/day, 5 days/week) with strong overlap on the COO's working hours.
How You'll Be Measured
- This role is measured on how much load it reliably takes off the COO and how cleanly the work gets done. Specific KPIs and targets are set quarterly with the COO, but the core measures are:
- Task turnaround — speed and reliability on items the COO hands off
- Tracker accuracy and freshness — project trackers stay current, accurate, and trusted as a single source of truth
- Follow-up completion — outstanding items chased to closure, blockers surfaced early
- COO time reclaimed — the headline outcome. How much of the COO's week is freed from admin back into strategic work.
