Trainer HQ is looking for a motivated, reliable, and confident Appointment Setter / DM Outreach VA to help generate and book qualified discovery calls for our sales team.
We are a business coaching company that helps personal trainers, fitness professionals, and online coaches grow their fitness businesses. We are looking for someone who can engage leads, start conversations, follow up consistently, and book appointments with potential clients.
This role is ideal for someone with strong English, great communication skills, and experience in appointment setting, sales support, Instagram DMs, or CRM follow-up.
Your Main Role
Your job is to help create more qualified discovery calls for our senior sales team.
You will be reaching out to leads, replying to conversations, following up with prospects, making calls, updating our CRM, and booking people into discovery calls with our sales team.
You will be supporting our main salesperson, Peter, by helping him walk into more qualified discovery calls each day.
Daily Responsibilities
You will be responsible for:
- Engaging with leads inside Instagram DMs
- Taking over conversations from AI agent chats when needed
- Starting conversations with potential prospects
- Following simple scripts and messaging frameworks
- Calling old, cold, warm, and new leads from our database
- Identifying interest and qualifying potential prospects
- Booking qualified prospects into discovery calls
- Updating CRM notes, lead status, and pipeline stages
- Following up with leads who have not yet booked
- Keeping accurate records of conversations and outcomes
- Reporting daily activity and results
What We Are Looking For
We are looking for someone who is:
- Excellent at written and spoken English
- Confident speaking with people on the phone
- Friendly, professional, and easy to communicate with
- Comfortable starting conversations with new people
- Reliable and consistent with daily tasks
- Able to follow scripts, systems, and processes
- Comfortable working with KPIs and targets
- Organised with CRM notes and follow-up tasks
- Positive, coachable, and open to feedback
- Able to work independently in a remote role
Bonus Experience
The following experience would be helpful, but is not required:
- Appointment setting experience
- Instagram DM outreach experience
- Sales support experience
- Experience calling leads
- Experience using Go High Level or similar CRM platforms
- Experience working with fitness, coaching, or online education businesses
- Experience booking calls for a sales team
We use MXP, which is our version of Go High Level. Experience with Go High Level is a bonus, but not essential, as training will be provided.

Who This Role Is Best Suited For
This role is best suited for someone who enjoys communication, sales support, lead follow-up, and helping book appointments.
You do not need to be a high-pressure salesperson. However, you do need to be confident, proactive, organised, and willing to speak with people through DMs and phone calls.
