We’re Hiring: Financial Operations Manager

We are looking for a highly organized, proactive, and detail-oriented Financial Operations Manager to support bookkeeping, reporting, payroll coordination, cash flow tracking, tax coordination, and operational financial analytics across multiple business and personal entities.

This role is ideal for someone who is not just comfortable with numbers, but also systems-minded, AI-first, and able to help leadership stay financially organized across several moving parts. We need someone who can take ownership, think ahead, identify issues before they become problems, and use tools, systems, and AI to make financial operations cleaner and more efficient.

You will work closely with leadership and coordinate with tax consultants, contractors, affiliates, and financial service providers.

## About the Role

You will help manage financial operations across multiple entities, including personal finances, real estate-related businesses, and a growing SaaS company. This includes maintaining accurate records, preparing financial reports, tracking cash flow, coordinating tax documentation, monitoring contractor and affiliate payments, and supporting leadership with financial visibility and decision-making.

This is not a passive bookkeeping role. We are looking for someone who can manage recurring responsibilities, improve financial systems, flag risks early, and recommend better ways to organize, report, and automate finance-related work.

The role serves as the primary financial coordination point between ownership, tax professionals, contractors, affiliates, and financial service providers.

## What You’ll Do

### Bookkeeping & Financial Records

* Maintain bookkeeping and financial records across multiple business and personal entities.
* Keep transactions properly categorized and reconciled.
* Ensure financial records are accurate, organized, and up to date.
* Maintain clean documentation for expenses, income, transfers, contractor payments, affiliate payouts, and business obligations.
* Identify inconsistencies, missing records, or unusual activity and flag them proactively.

### Financial Reporting & Cash Flow

* Prepare monthly financial reports and cash flow updates.
* Monitor cash balances across accounts and flag upcoming funding needs.
* Advise ownership when transfers are needed to cover payroll, taxes, contractor payments, subscriptions, affiliate payouts, and other obligations.
* Support forecasting and financial planning through clear reporting and analysis.
* Help leadership understand what the numbers mean, not just what the numbers are.

### Tax Coordination & Compliance Support

* Coordinate with tax consultants and assist with tax preparation.
* Help organize tax documents, tax organizers, contractor records, and compliance-related files.
* Monitor contractors and affiliates for payment tracking and 1099 compliance.
* Ensure financial documentation is organized and accessible for tax professionals.
* Track recurring tax-related deadlines and follow up before they become urgent.

### Payroll & Contractor Payments

* Process or coordinate payroll for business ownership and tea ---------- mbers where applicable.
* Track contractor and affiliate payouts.
* Review payout approvals and ensure payment information is accurate.
* Maintain records of completed and pending payments.
* Help improve payment tracking systems so there is clear visibility into who has been paid, who is pending, and what requires approval.

### SaaS / Operational Analytics

* Manage Stride CRM user sign-up databases and related financial tracking.
* Monitor user analytics, affiliate performance, and payout approvals.
* Help track revenue, churn, signups, affiliate activity, and related SaaS metrics.
* Support leadership with insights that connect financial data to business performance.
* Identify trends, gaps, or anomalies in business performance data.

### Process Improvement & AI Leverage

* Use AI tools to reduce repetitive manual work and improve reporting speed.
* Use AI to help organize financial data, summarize reports, analyze spreadsheets, create checklists, draft documentation, and identify process gaps.
* Look for recurring finance tasks that can be automated, systemized, or simplified.
* Document repeatable workflows so the finance function becomes easier to manage over time.
* Help turn messy information into clean, usable trackers, reports, and decision-making tools.

### Financial Liaison & Communication

* Serve as the primary financial coordination point between ownership, tax professionals, contractors, affiliates, and financial service providers.
* Communicate clearly when information is missing, deadlines are approaching, or decisions are needed.
* Help keep leadership informed without requiring constant follow-up.
* Ask smart questions when something is unclear instead of guessing.

## What We’re Looking For

### Required

* Strong bookkeeping and financial operations experience.
* Experience preparing financial reports and cash flow updates.
* Comfortable managing financial records across multiple entities or business units.
* Strong attention to detail and accuracy.
* Clear written communication.
* Highly organized and reliable.
* Able to work independently and follow through without constant supervision.
* Comfortable handling sensitive financial information with discretion.
* Willing to document processes and improve systems over time.
* Proactive enough to flag risks, missing information, or upcoming obligations before being asked.
* Comfortable using AI tools to improve speed, organization, documentation, reporting, and analysis.

### Strongly Preferred

* Experience working with U.S.-based businesses.
* Experience coordinating with tax preparers, accountants, or CPAs.
* Familiarity with payroll, contractor payments, and 1099 tracking.
* Experience supporting entrepreneurs, real estate businesses, SaaS companies, or multi-entity owners.
* Experience with financial dashboards, spreadsheets, and operational reporting.
* Strong Google Sheets or Excel skills.
* Ability to use AI tools thoughtfully and responsibly in financial operations.

### Bonus Points

* Experience with Xero, QuickBooks, Google Sheets, Stripe, payroll tools, or affiliate tracking.
* Experience with real estate, land investing, or SaaS metrics.
* CPA, accounting degree, bookkeeping certification, or tax-related experience.
* Ability to build or improve financial dashboards.
* Experience building SOPs or documentation for finance workflows.
* Experience creating financial trackers, forecasting models, or automated reporting systems.

## Success in This Role

In the first 30 days, success would look like understanding the financial structure, current reporting process, recurring obligations, payroll/payment cadence, and key entities involved. You should be able to identify what reports exist, what is missing, what needs cleanup, and what recurring workflows must be protected.

By 60–90 days, we would expect you to own the recurring finance cadence more independently, provide clear monthly reports, flag cash flow needs ahead of time, maintain organized records, support tax coordination, and help improve overall financial visibility across the businesses.

Long term, success means leadership has cleaner visibility into cash flow, reporting, taxes, contractor payments, affiliate payouts, and business performance without constantly having to chase information.
