Carrier Billing Specialist

As we scale nationally, we are hiring a Carrier Billing Specialist to serve as a critical financial control point across carrier billing, fines enforcement, and detention validation workflows ensuring every load is accurately updated, fully documented, and dispute ready before reaching Finance.

Role Overview
You will act as the daily operator across three core functions: fuel surcharge updates, carrier fines processing, and detention claims validation. This role requires precision, ownership, and the ability to manage deadline-driven workflows without compromising accuracy or SOP compliance.

What You'll Be Doing
Fuel Surcharge (FSC) Updates
• Update FSC values every morning before load submission, ensuring all loads are financially accurate prior to Triumph submission
• Validate updates by comparing Customer vs. TMS revenue and adjust Line Haul Fee when discrepancies arise (Line Haul Fee = Revenue ? FSC)

Fines Processing
• Review all carrier loads in the fines matrix, validate required compliance photos, and apply fines for missing documentation
• Verify each fine through FourKites tracking and POD review before processing
• Enter confirmed fines into LoadStop and update carrier balances accordingly
• Issue revised Rate Confirmations within 3–5 business days and manage the full 7-day carrier dispute window

Detention Processing
• Review and validate detention requests by confirming all required submission details
• Verify in/out timestamps against internal records and tracking data
• Calculate detention charges based on established time thresholds
• Reject any requests lacking verified documentation or confirmed timestamps

What Success Looks Like
• FSC updates completed every morning with zero missed loads before Triumph submission
• 0 fines applied without prior FourKites and POD validation
• All revised Rate Confirmations issued within the required 3–5 business day window
• Carrier disputes acknowledged and resolved within the 7-day window
• 0 detention claims approved without verified documentation and timestamps
• All records audit-ready in LoadStop, carrier balance sheets, and the fines tracking sheet

Required Skills & Qualifications
• Experience in US freight brokerage, carrier billing, load auditing, or logistics operations
• Knowledge of FSC, rate confirmations, fines processing, and detention calculations (is a plus)
• Familiarity with TMS platforms (e.g., Loadstop), FourKites, or similar tracking systems (is a plus)
• Strong documentation discipline and audit mindset
• High attention to financial accuracy and detail
• Ability to enforce SOPs consistently without shortcuts
• Strong written and verbal English communication
• Minimum 45–50 WPM typing speed
• Comfortable working in a structured, accountability-driven environment

Work Setup & Schedule
• Full Time | Wednesday - Sunday 7:00 AM – 5:00 PM CDT (San Antonio time)
• Must work U.S. business hours
• Collaborative Zoom-based work environment (camera on)
• Time tracking tools used for accountability
