We are seeking a highly organized and proactive Virtual Assistant to support our Business Development department. This role is heavily focused on outbound prospecting, CRM management, follow-up coordination, and helping generate qualified sales conversations with school leaders across the United States.

Primary Responsibilities
Business Development & Prospect Outreach
• Research and identify prospective schools, networks, and education organizations across the United States
• Build and maintain targeted outreach lists for
• Collect and organize contact information for school decision-makers including Heads of School, Principals, Founders, and Executive Directors
• Help re-engage older prospects and inactive opportunities within the CRM (GHL)
• Assist with outbound communication campaigns and appointment-setting efforts
• Monitor responses from outreach campaigns and ensure timely follow-up
• Track outreach activity and help maintain an organized business development pipeline
CRM & Pipeline Management
• Update and organize prospective school records daily inside the Enrollment Engine (GoHighLevel CRM)
• Maintain accurate notes, contact information, and deal stages
• Track inquiries, booked calls, and sales pipeline activity
• Monitor CRM automations and report issues or missed triggers
• Ensure no prospective opportunity is lost due to lack of follow-up or organization
Appointment Coordination & Sales Support
• Coordinate sales calendars and confirm appointments with prospective schools
• Send reminders, reschedule missed calls, and support appointment attendance
• Prepare prospect summaries before sales conversations
• Send post-call follow-up communication and reminders regarding next steps
• Assist with proposals, payment links, onboarding coordination, and administrative sales tasks using company templates
Reporting & Administrative Support
• Maintain clean and accurate sales and outreach data
• Help prepare weekly business development reports and performance tracking metrics
• Organize digital files and prospect records
• Assist with documenting systems and improving operational efficiency inside the department
Preferred Skills & Experience
• Prior experience as a Virtual Assistant, Business Development Assistant, Sales Assistant, Appointment Setter, or CRM (GHL) Coordinator
• Strong written and spoken English communication skills with the ability to communicate professionally with U.S.-based school leaders
• High attention to detail and strong organizational skills
• Comfortable with outbound outreach and sales-related activities
• Familiarity with GoHighLevel (GHL) is a major plus
• Comfortable using Google Workspace and CRM systems
• Ability to work independently, follow processes, and learn quickly

Hours & Availability
• Approximately 10–15 hours per week to start
• Must be available during weekday business hours between 11:00 AM and 2:00 PM Eastern Time (EST)
• Must be responsive and reliable during scheduled work hours
